Primary Purpose of Organizational Unit

The Building Operations and Security unit of the library oversees all aspects of the library buildings operations, including facility management, security, access control, policies, equipment, inventory and asset management, event support, space planning, and scheduling.

Brief Summary of Work for this Position
The Library Operations and Event Assistant for the UNCW Library assists in the building and event management in two library buildings that comprise over 220,000 square feet and feature a variety of event, exhibit, and meeting spaces. This position is primarily responsible for space reservations, event coordination, and other building operational needs for Discovery and Randall Halls, including the new library events space. This position is part of a team that coordinates the daily operations and security of the library. This is a full-time, time-limited position with full benefits and eligible for continuation.

Specific duties include:

  • Coordinating daily space reservation requests and interacting with UNCW faculty & staff, UNCW students, Library faculty and staff, and community visitors to meet their space reservation needs.
  • Managing the setup and breakdown of space requests and library events.
  • Utilizing a ticketing system to create, update, and respond to daily work orders related to a wide variety of building operational needs.
  • Utilizing a variety of systems to input and record space and building use, and related data, and creating reports as requested.
  • Organizing building operations activities and schedules.
  • Updating library websites with relevant event, space, and reservation information.
  • Providing customer service to clients, including students, staff, faculty, and the community in daily interactions.
  • Supervising student workers in the evenings and as needed for event preparation.
  • Leading or assisting in closing/opening library buildings.
  • Applying library policy to patron behavior.
  • Responding to security and facility issues and emergencies.
  • Providing basic technology support at meetings and events.
  • Providing lost and found customer support.

Minimum Education and Experience Requirements
High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.
Preferred education, professional skills and experience

  • Bachelor's degree from an accredited 4-year institution.
  • Experience using web-based software to complete work assignments, such as calendaring, helpdesk, communication, and/or space reservation software
  • Experience providing support for events or coordinating operations in the workplace
  • Ability to independently problem-solve
  • Ability to work independently with minimal direct supervision
  • Strong organizational skills, including meeting deadlines and attention to detail
  • Excellent communication skills, including the ability to exercise tact, judgment, and discretion in dealing with a wide variety of students, staff, and members of the community
  • Experience in interpreting and applying established policies and procedures to client relations
  • Ability to handle emergency situations
  • Ability to move furniture and supplies needed for event set up and clean up
