You Are:

You are an exceptionally organized and detail-oriented individual with a passion for event planning and coordination. You thrive in dynamic environments and excel at multitasking. Your communication skills, both written and verbal, are outstanding, and you have a natural ability to work both independently and as part of a team. Your proactive approach and customer service orientation make you a reliable point of contact for internal and external stakeholders. You maintain professionalism and a positive attitude, even when handling confidential information or working across multiple time zones. Your proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, SharePoint, Teams, and Zoom, ensures you can handle various administrative tasks efficiently. Previous experience in administrative, event management, or project management roles is a plus, but your eagerness to learn and adapt is what sets you apart.

What You'll Be Doing:
  • Plan and coordinate all aspects of large employee events from inception to completion, including developing event marketing and communication strategies to promote events to employees.
  • Plan and execute external meetings, meals, events, and offsites, anticipating logistical requirements, monitoring event costs, and ensuring timely delivery of all requirements.
  • Manage and work with procurement processes to assist with submitting purchase requests (PR) and contracts, setting up new vendors, and paying vendors.
  • Submit requests and coordinate with Facilities and IT as needed.
  • Submit and coordinate catering orders as needed.
  • Order and maintain inventory of company collateral, such as brochures, business cards, and marketing materials. Ship collateral and marketing materials to teams globally.
  • Manage leadership and team calendars, including planning and coordinating domestic and international business travel, ensuring passport validity, Visa, and stay arrangements are met.
  • Submit expense reports on behalf of team members.

What You'll Need:
  • Highly proficient knowledge of Microsoft suite, including Outlook, Word, Excel, PowerPoint, SharePoint, Teams, and Zoom.
  • Experience in administrative, event management, or project management is a plus.
  • Exceptional organizational and multitasking skills.
  • Proactive, customer service orientation (internal & external customers).
  • Excellent oral, written, and interpersonal communication skills with empathy towards coworkers.

The team is dedicated to advancing technological innovation through collaboration with academic institutions and research organizations. Your role as an event coordinator intern will be pivotal in ensuring the smooth execution of various events and administrative tasks, contributing to the overall success of the team.
