POSITION SUMMARY

We are seeking an organized and proactive Operations Coordinator to provide vital assistance to senior-level executive and support our operations. This role encompasses a range of responsibilities, including managing schedules, coordinating events, and liaising with various stakeholders.

KEY RESPONSIBILITIES

  • Provide comprehensive administrative support to senior executives, including managing calendars and travel arrangements.
  • Manage special operations projects as requested.
  • Act as a liaison between departments and external contacts, facilitating effective communication with all parties.
  • Address correspondence on behalf of the executive, handling confidential and non-routine information with care and discretion.
  • Prepare expense reports, reconcile credit card charges, and code and submit invoices to accounting.
  • Schedule and manage event and meeting room reservations, coordinating necessary resources such as admin/brokerage coordinators and IT support.
  • Utilize Microsoft Office for tasks such as word processing, spreadsheet management, and presentation development.
  • Ensure a positive experience for guests and groups through personal interaction.

QUALIFICATIONS

  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication abilities.
  • Proficiency in Microsoft Office Suite.
  • Ability to handle confidential information with integrity.
  • Flexibility to accommodate changing demands and schedules.
  • Demonstrated poise, tact, and diplomacy.
  • Excellent phone and organization skills
  • Calendar Management experience
  • Ability to set priorities, meet deadlines, and multitask.
  • Proven record of providing both internal and external customer service
  • Ability to handle sensitive information with discretion.
  • Excellent attendance and punctuality
