Hiring Range

The University of California, Merced is required to provide a reasonable estimate of the compensation range for this role. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The full salary range for this position is $25.62 - $44.11. The budgeted salary or hourly range that the University reasonably expects to pay for this position is 26.28 - $28.75.

Job Closing Date

This position is approved for a hybrid work modality. Incumbent will have remote opportunities although business needs will require flexibility in this fast-paced envrionment.

This is a career appointment.

About the Job

The Gift Administration Analyst is responsible for the timely recording and acknowledgment of charitable gifts in accordance with university policy and IRS guidelines. The Gift Administration Analyst reports directly to the Senior Gifts Administrator and maintains close working relationships with other Development Services and Philanthropy & Strategic Partnerships staff.

Key Responsibilities:

  • Follows established processes and workflows for recording, receipting and acknowledging gift, pledge, pledge payment, payroll deduction and bequest transactions.
  • Develops and generates regular reports to reconcile to various financial systems, produce error-checking reports, pledge receivable reports and weekly transaction reports. Performs ad hoc analysis as needed.
  • Reports directly to the Senior Gifts Administrator and maintains close working relationships with other Development Services and Philanthropy & Strategic Partnerships staff.
  • Creates, updates and maintains constituent biographical records.
  • Communicates with Philanthropy & Strategic Partnerships, Alumni Relations and other university departments regarding allocation and handling of gifts, gifts-in-kind, matching gifts, estate gifts, stock gifts, reportable grants, endowments and gift payroll deductions. Effectively addresses difficult and complex customer inquiries.
  • Generates and maintains financial documentation including tax receipts, invoices, pledge reminders and pledge write-off documentation.
  • Participates in audits of internal records and processes and suggests recommendations for changes as needed. Ensures that the appropriate internal controls are applied to protect University resources.
  • Contributes to the continuing development of computerized systems to help identify opportunities for system improvements as it relates to recording, tracking and managing gift and constituent data.
  • Performs other duties as assigned.
Qualifications

  • Bachelor's degree in related discipline from an accredited institution; and
  • One year of directly related, progressively responsible experience; or
  • Five years of equivalent experience/training; and
  • Valid CA Driver's License (required).
  • Demonstrated experience in data entry, records management and maintenance, or interacting with computer systems in a data rich environment.
  • Experience with the Oracle Financial System and/or the Raiser's Edge database (preferred).
  • Demonstrated experience in processing, reconciling and balancing financial transactions.
  • Knowledge in administrative procedures and processes including word processing, spreadsheet and database applications.
  • Demonstrated ability to learn knowledge of development principles and activities including gift policies, solicitations, stewardship, donor recognition and administration. Ability to understand Campus and University-wide Policies and Procedures, CASE Reporting Standards, IRS regulations and other governing policies and procedures relating to the processing of charitable gifts.
  • Ability to administer a variety of gifts, and exercise discretion to maintain the security of confidential information and personal integrity sufficient to maintain the security of university funds.
  • Excellent written and oral communication skills and the ability to articulate complex information in a manner which is comprehensible to diverse audiences.
  • Demonstrated organizational and time management skills and the ability to work concurrently on multiple tasks, to establish priorities, and work independently or in a team environment to accomplish goals within established deadlines.
  • Excellent research and analytical skills sufficient to analyze problems in a multi-faceted way and develop and participate in implementing innovative solutions on a variety of projects.
