About the Position

The Design and Records Specialist provides comprehensive support to Facilities Management leadership and staff, organizing, updating, and distributing files, drawings, and other record documents both internally and to external consultants. This role includes facilitating the intake of closeout document packages for all completed projects and verifying compliance with FMD standards. Responsibilities encompass conceptual floor plan test fits, schematic design, construction documents, and detailing for tenant improvement projects. Design work will also include permit processing and interior design coordination. Additionally, the Design and Records Specialist ensures departmental compliance with state laws regarding the retention and disposition of required records.

We Require

  • Five years of professional architectural or engineering experience, including two years of project management experience in all areas of the planning, design, and construction of facility construction projects

  • Bachelor's degree in Architecture, Engineering, Business Administration, or a related field

  • An equivalent combination of post-secondary education in Architecture, Engineering, or Business Administration, and/or job-related experience may substitute for the minimum qualifications on a year-for-year basis

  • Must complete a Prison Rape Elimination Act (PREA), MCSO background investigation, and TOC certification to access County detention facilities

  • Must possess or have the ability to obtain a valid Arizona driver's license and have an acceptable driving record by the time of hire

Job Contributions

  • Serve as the Department's Custodian of Record responsible for the management of records and data classification throughout the records-life cycle in accordance with the Arizona State Library, Archives, & Public Records retention schedules, standards, and guidance, in coordination with the Office of Information Governance; provide documents and records to the Office of Information Governance in response to public records requests

  • Manage the workflow of transferring and indexing all closed-out project electronic records into the Maricopa County central data repository; serve as Department Data Classification Steward in support of EIT security and reporting efforts

  • Produce design drawings and construction document sets for all phases of design. Permit drawing sets with Planning and Development and other authorities having jurisdiction, including engineering consultant coordination when applicable

  • Draw test fit floor plansand schematic design options for review and approval by department leadership; layout concept floor plan overlays to test department moves and reconfigures against theactual available square footage

  • Maintain up-to-date FMD Master Drawings and Department Zoning Diagrams

  • Create bid package drawings for contractor pricing and budgetary purposes; produce construction details for tenant improvement projects, including custom details to adapt building systems and finishes to existing conditions. Work with the Interiors team to develop finish schedules on Architectural improvement projects

  • Manage the Maricopa County Geographic Information System (GIS) facility locations integrative map, utilizing the current versions of ArcMap and IBM Maximo. Synchronize data between ArcGIS and IBM Maximo Asset Management

  • Maintain and enforce Maricopa County Facilities Management Department CAD Standards, including layering control, title blocks templates, and details

  • Collect and organize close-out files and technical documentation for each construction project, including all architectural, engineering, vendor, and consultant documents, saving documents in proper formats to department drives and/or cloud storage locations

  • Survey existing office space conditions, measure floor plans, and check for the accuracy of floor plans on an as-needed basis

  • Assist O&M, Project Managers, and the Design Team with thecollection and distribution of record drawings and other files for use in-house by vendors and other consultants

  • Other job duties as assigned
