Job Summary

Reporting to the Associate Dean, Academic Personnel and Planning and the HR Business Partner, administer academic affairs within the college, and in cooperation with campus Academic Personnel administration. Provide analysis regarding academic issues and actions. This position relies on previous experience and familiarity in working with academic personnel matters. Provide analytical support to the college administration and departmental leadership pertaining to all academic personnel matters for Academic Senate/Federation members in the college. Analyze large quantities of information, provide policy interpretation and recommend solutions in resolving sensitive personnel issues.

Minimum Qualifications

For full consideration, applicants are encouraged to upload license, certification and/or educational degree if required of the position.

  • Experience administering the full spectrum of academic personnel affairs.
  • Experience using online systems to manage workflow and create documents and reports.
  • Experience using MS Office Suite at a level that demonstrates organizational skills to coordinate large volumes of work and establish priorities.
  • Knowledge of principles of human resource management and of the processes related to the management of academic personnel affairs.
  • Ability to think critically and incorporate applied problem-solving skills to research and analyze complex information and/or problems related to academic affairs in an objective manner.
  • Analytical skills to anticipate and forecast impact of potential action. Prior academic personnel experience to develop logical conclusions and to recommend solutions.
  • Understanding and knowledge of the processes related to management of academic personnel affairs.
  • Skills to work on projects with competing deadlines; flexibility in dealing with people and competing demands; skills to pay close attention to detail.

Preferred Qualifications

  • Knowledge to understand and interpret university policies and procedures.
  • Writing and organizational skills to draft informational materials for clear, concise dissemination.
  • Skills to edit copy for grammar, spelling and punctuation with attention to detail.
  • Interpersonal and oral communication skills to communicate in person and on the telephone; skills to handle sensitive or difficult situations diplomatically, and to work with individuals from diverse cultural and professional backgrounds.
  • Knowledge of payroll/personnel systems, including on-line systems, preferably UCPath, Job Builder, MyInfoVault, APHID, RECRUIT, etc.
  • Knowledge of Colleges, Schools and University administrative offices, administrative staff contacts, and policies and procedures.
  • Skills to train, mentor new administrative staff with regard to both academic and staff personnel processes.
  • Familiarity and knowledge of academic bargaining units.

Department Overview

The College of Engineering includes eight academic departments and the Dean's Office. The College has 220 tenure track faculty members, 200 staff, and approximately 1,000 other employees, including career staff, Unit 18 lecturers, adjunct faculty, emeriti faculty, professional researchers, project scientists, academic coordinators, academic administrators, specialists, junior specialists, postdoctoral scholars, teaching assistants, graduate student researchers, student assistants and fellowship, block grant and training grant appointees.
