Posting Summary |
Rutgers, The State University of New Jersey, is seeking a Program Coordinator I for the Graduate School of New Brunswick. Working closely with the Senior Associate Dean, the Program Coordinator I will be charged with two key areas of responsibility: supporting pre and post award services for students who apply for and receive external fellowships and
SGS internal awards including the Bevier Fellowship, the Presidential Fellowship and
SGS Conference and Research Travel Awards and supporting the Senior Associate Dean in all areas of responsibility.
Among the key duties of this position are the following:
- Handles operation support for GradFund which supports graduate students who are applying for externally funded grants and fellowships. This includes serving as the initial point of contact for fellowship advisor email box and managing the advising calendar. They will schedule and provide logistical and technical support for graduate program presentations, webinars and mentoring programs. They will meet with student one-on-one and in small groups to discuss the graduate funding landscape. The position will assist in GradFund data collection and update and maintenance of the GradFund Awards Database and Canvas Site.
- Handles administrative Support for Senior Associate Dean including tracking confidential student affairs related correspondence and calendar management for graduate programs presentations and student affairs issues.
- Assists with the administration of the SGS Internal Awards and Fellowships. They will serve as liaison between SGS and the program directors through the Submittable platform and will track applicants and decisions of SGS Senior Management for: The Research & Travel Grants competition, the University & Bevier Fellows and the Presidential competitions.
- Supports Senior Associate Dean in the management of external fellowship competitions. External fellowships include (but are not limited to): Fulbright US Student Program, Fulbright Hays, DAAD, Charlotte Newcombe Fellowship, Dolores Zohrab Liebmann and the USAID. Develop publicity materials for fellowship and grant opportunities. Serve as resource for students, faculty and staff. Responsible for meticulous record keeping and escalation of details when appropriate.
- Serves as backup to assist with SGS wide transactions including preparation of requisitions, expense report assistance, entering hourly payroll, initiator of Recruitment, Onboard & Classification System and record keeper for paid time off for staff in the Absence Reporting System.

Qualifications
Minimum Education and Experience |
- Bachelor's degree or an equivalent combination of education and/or experience.
- Two years of experience.

Required Knowledge, Skills, and Abilities |
- Computer literacy and expertise in Microsoft Excel, Powerpoint, Wordand Outlook and willingness to learn new platforms (Submittable and FileMaker).
- Must be poised and concise with responses but also cognizant of when to escalate issues to senior leadership.
- Must handle sensitive and confidential information with care and discretion.

Preferred Qualifications |
Master's degree preferred.
Working knowledge of graduate education.
Experience with relational databases,
CRM, and
CMS platforms.
Demonstrated experience of working successfully and collaboratively in a fast-paced deadline driven professional environment.
The attention to detail is essential. |
