Position Summary |
This position has a high level of responsibility and aids the director in daily operations of the Performing Arts Center. This position serves as liaison between the director and other University officials relating to fiscal affairs and business operating procedures. Overall duties include: management of professional, fiscal, and administrative work in planning, organizing, leading, and controlling the fiscal, instructional, HR, and logistical activities of the unit; project financial needs and oversee departmental and sales and service budgets; manage approved budget; prepare reports and provide information to director; hire personnel and process paperwork for all new employees; serve as payroll representative for department; serve as departmental staff liaison for other units on campus; provide assistance to staff regarding policies and procedures. |
Knowledge, Skills, Abilities and/or Competencies |
- Extensive knowledge of accounting rules, regulations and procedures as well as business, budget and financial processes and practices.
- Extensive knowledge of
UGA HR and Payroll rules, regulations, and procedures.
- Work independently on complex issues related to day-to-day operations of a large unit.
- Excellent interpersonal, written and verbal communication skills to interact with a variety of personalities at all levels, exercising tact, confidentiality, sound judgment, diplomacy, and flexibility to promote positive working relationships and job effectiveness.
- Organizational, analytical and management skills with the ability to follow-through on assignments with minimal direction.
- Act independently and exercise sound judgment with sensitivity to identify matters that require higher-level management consultation.

Financial Management
-Manage the daily business operations of the department.
-Serve as departmental approver in the
UGA Financial Management system.
- Process budget and direct retros as needed
- Process, approve, and reconcile payroll for all pay groups.
- Coordinate the approval process for annual and end-of-project salary certifications.
- Assist with grant budgets as it pertains to payroll and benefits costs.
- Maintain accurate records on unit allocations and grants.
-Compile budget information and maintain spreadsheets.
-Provide oversight for all other non-personal services funds housed within the department.
-Create and submit the monthly sales tax report.
-Create and submit other monthly and quarterly reports as required.
-Attend University meetings and trainings as required. |

Human Resource Management
- Serve as departmental HR and payroll representative.
-Recruit, train, and supervise/evaluate staff and student workers.
-Utilize UGAJobs to create and/or revise positions, post vacant positions, reclassify existing positions.
-Coordinate all new hire and termination paperwork and training for department.
-Create secure, confidential personnel files, complete
EEO forms, Workers' Comp forms,
FMLA forms, Shared Leave forms, separation notices and exit interview forms.
-Attend University meetings and trainings as required. |

Knowledge and Compliance
-Knowledge of financial procedures and compliance with
GAAP as well as comprehensive understanding of auditing standards and tax regulations.
-Responsible for ensuring compliance with
UGA financial processes and standards.
-Communicate approved policies and procedures to staff; advise as necessary.
-Advise the director regarding financial and personnel matters.
-Serves as a resource to the staff in all HR and financial matters.
-Serves as the financial and HR liaison between campus units and the department, including the School of Music, Department of Theatre and Film Studies, Department of Dance, and others. |
