Position Summary

As an Administrative Assistant within our organization, your contribution will be pivotal in the precise management of our claims tracking system. Your chief responsibility will encompass the diligent input of new claims, necessitating meticulous attention to various details, including demographic data, provider information, and other critical aspects of claims. Precision and a keen eye for detail are paramount to ensure the integrity of our data.

As an Administrative Assistant, you are an integral member of our team. You will facilitate internal communications. Your role extends beyond mere data entry; you are expected to proactively engage in the identification, examination, and resolution of any discrepancies or concerns that emerge throughout the claim entry procedure. Your adept problem-solving skills will be invaluable in addressing these challenges effectively and efficiently. Job Responsibilities

  • Conduct thorough investigations to address and rectify any issues arising during the claims entry process, ensuring accuracy and efficiency in documentation and reporting.
  • Proactively identify challenging scenarios and escalate them to the relevant stakeholders, ensuring timely resolution and minimal disruption.
  • Act as the primary liaison between peer reviewers, the Medical Director, and additional team members, facilitating clear and constructive communication to support operational goals.
  • Engage in a variety of projects, demonstrating flexibility and a keen ability to adapt priorities as needed throughout the day to meet evolving business needs.
  • Diligently monitor and guide multiple project issues towards resolution, showcasing exceptional problem-solving skills and attention to detail.
  • Accurately record meeting agendas and minutes, capturing essential details and action items to ensure team alignment and progress.
  • Exhibit commitment to detail in all tasks, ensuring precision and accuracy in every aspect of your work.
  • Prepare and review monthly/biweekly invoices for approval, maintaining meticulous financial records and adherence to billing cycles.
  • Utilize your excel skills to create and manage spreadsheets that enhance workflow management and operational efficiency.
  • Provide essential technical support for webinars, assisting with setup and troubleshooting to ensure smooth execution of virtual events.
  • Display an exceptional ability to prioritize tasks effectively amidst fluctuating workloads, ensuring critical deadlines are met and quality standards are upheld.
  • Responsibilities may be expanded to include additional duties as deemed necessary by management, offering opportunities for professional growth and skill development.

Required Qualifications; Knowledge, Skills and Experience

  • High School diploma or GED required; Associate degree is preferred.
  • Proficient in Microsoft Office suite (Word, Excel, PowerPoint), Adobe or other PDF software, SharePoint, Teams, Outlook.
  • Demonstrates an exceptional attention to detail in all tasks.
  • Strong team player with a positive outlook towards team and client interactions.
  • Ability to draft professional, polished emails and communicate effectively in written and verbal forms.
  • Familiar with confidentiality policies and procedures, with the ability to navigate and utilize electronic systems proficiently.
  • Proficient in multitasking across projects, prioritizing tasks efficiently, and working collaboratively within a team setting.
  • Maintains composure and professionalism when handling challenging situations.
  • Experienced in managing claims through the review process and monitoring the status of each claim daily.
  • Ability to collaborate effectively with other Administrative Assistants to balance workload and assist in coordinating monthly meeting presenters.
  • Requires high-speed, reliable internet service for handling high-volume document management and participating in Teams meetings.
  • Excellent verbal and listening skills for courteous and professional customer interactions.
  • Independent worker capable of operating with minimal oversight, maintaining availability during standard business hours.
  • Keen ability to identify concerns and communicate effectively with the team and supervisors.
  • Medical terminology knowledge is beneficial but not mandatory.
  • Proofreading skills to ensure accuracy and clarity in all communications.

Compensation

The compensation for this role is $17.00 to $20.00 per hour

Based on our compensation program, an applicant's position placement in the pay range will depend on various considerations, such as years of applicable experience and skill level.
