About This Role:

The Facilities Service Coordinator oversees the daily operations of the Facilities Customer Service Center, ensuring efficient service delivery and acting as a liaison between the university and facilities staff. Responsibilities include managing service requests, work orders, billing, and training staff, while ensuring compliance and safety across departments.

Key Responsibilities:




  • Customer Service Management: Lead the Customer Service Center, handle service requests, assign work orders, and resolve complaints.

  • Work Order Management: Oversee work orders in AiM, ensuring accurate data entry and collaboration with EHS on safety-related issues.

  • Supervision & Training: Train and supervise a coordinator, ensuring staff are proficient in customer service and work order processes.

  • Billing Management: Process invoices and ensure accurate billing for services and equipment.

  • Collaboration: Liaise with the university community, Facilities staff, and Campus Planning; communicate backflow reports to the City of Manhattan.

  • Vehicle & Work Order Maintenance: Manage work orders for Motor Pool and Facilities vehicles and maintain records for departments and shops.


Worksite Options:

This position is required to be performed on-site. Work is performed on employer premises or designated assignment location.

What You'll Need to Succeed:

Minimum Qualifications:



  • Requires two years of relevant experience.
  • Sufficient dexterity to complete data entry tasks.
  • Must be able to communicate with customers on the telephone, radio, or in person.


Preferred Qualifications:



  • Two years supervisory and customer service experience.
  • Prefer knowledge of maintenance/construction trades, extensive knowledge of database management systems, and working knowledge of accounting practices.


Other Requirements:



  • Applicants must be currently authorized to work in the United States at the time of employment.
