POSITION SUMMARY: The Contract Administrator 1 is responsible for the preparation, issuance, and monitoring of the status and final execution of all Subcontracts, professional service agreements, and purchase orders. This role also assists in the prequalification process and ensures all initial compliance needs are met. Additionally, this role provides general administrative support for the division office. The Contract Administrator must be a flexible and adaptable team-player, as well as have strong communication skills. MAJOR DUTIES & RESPONSIBILITIES:
- Aides in the execution and document control process of Owner Agreements, Bid Forms, Joint Venture Agreements, and other documentation as necessary.
- Assists the Regional Leadership with Owner Agreement requirements through the acquisition of bonds and insurance per the Agreement requirements.
- Works with the Risk Management department to develop sample insurance certificates and bond forms and obtain approval of submitted certificates and bonds.
- Assists Estimating/Project Management in Prequalification process by inviting potential subcontractors, reviewing submissions for accuracy, and assisting in the completion of the application for Risk Management approval.
- Prepares, assembles, and issues all Subcontracts, Professional Service Agreements, Purchase Orders, and Manhattan General Provisions through an electronic signature platform and distributes accordingly
- Manages routing, review, and approval of all subcontract drafts in the contracting system
Responsible for the accurate and timely maintenance of data base(s) to track purchasing status and compliance status - Helps Risk Management and Accounting maintain accurate master vendor records through critical analysis of FEIN, legal name, and documents
- Responsible for conducting themselves in accordance with our Guiding Principles and exhibiting attributes matching the Way We Work.

JOB SKILLS & ABILITIES GUIDELINES:
- Computer knowledge and efficiency, including Microsoft Office products (Word, Excel, etc.)
- Knowledge of Vista, Procore, Trade Tapp, DocuSign, and Project Sight, or ability to learn and implement within 30 days of hire
- Good time management and organizational skills
- Ability to understand and follow instructions
- Functions effectively as part of a team
MINIMUM QUALIFICATIONS:
- Bachelor's Degree -. May substitute required education degree with related experience on a one-to-one basis
- 4 years of industry experience
WORKING CONDITIONS AND PHYSICAL EFFORTS:
- Ability to physically stand, bend, sit for long periods, and squat throughout the day.
- Ability to communicate effectively to participate fully in meetings, video conferences, and phone calls.
- Use hands to type, handle, control, or feel objects, tools, or control.
- Occasionally lift, pull, or move up to 25 lbs.
- Occasional travel will be required, primarily in the metropolitan area but sometimes domestically (must have a valid Driver's License).
- Certified Public Notary strongly recommended
