Summary of Position
Keene State College invites applications for a Coordinator of Event Scheduling and Communication who is responsible for updating and maintaining the 25Live Scheduling System, making necessary modifications and improvements to the system and staying abreast of the new services offered by the software and implementing those appropriate for campus.

The Coordinator will provide training to faculty and staff on the scheduling system to increase understanding of the tool and increase reservation efficiency and publishing accuracy. They will work closely with college leadership and other key staff to develop policies and procedures, guidelines, checklists, and planning tools. They will work with the team of schedulers and provide professional expertise and direction to ensure successful execution of campus scheduling.

The Coordnator also curates event content for and maintains internal event communication channels, such as the college's intranet, internal newsletters and other relevant platforms. For public events, the Coordinator ensures accurate and complete information for the website by collaborating closely with event hosts.

Salary Information

Duty/Responsibility
Event Scheduling

  • Serve as administrator for the 25Live System and work directly with the CollegeNET team, 25Live creators, to provide the best use of the software to benefit the system for the college.
  • Maintain, modify, update, and improve the use of the 25Live Scheduling System.
  • Provide training on the 25Live System to college faculty and staff and all appropriate new hires, increase their knowledge of scheduling system, increase efficiency of scheduling and ease of reserving on campus spaces.
  • Guide the development of policies and procedures in the areas of standardized scheduling policy and procedures.
  • In collaboration with the AVPSE and Associate Provost, create and enforce a space usage policy around campus facilities to ensure a balanced and appropriate use of campus spaces.
  • Enforce the Scheduling and Space Usage policies and ensure adherences for all events.
  • Coordinate regular collaboration with campus schedulers/approvers to collaborate on improvement to the system, update policies and procedures, guidelines and checklists and campus events and discuss campus calendar of events.
  • Champion the use of college-wide systems for common functions in 25Live to improve data quality, eliminate shadow systems, and reduce maintenance efforts and/or costs.
  • Create and track Master Calendar of Events including all Major Events. Holiday, campus closures.
  • Hold and Maintain 25Live Publisher Seat.
  • Participate in 25Live System Training through CollegeNet.



Duty/Responsibility
Internal Event Communications

  • In collaboration with events team, coordinate internal communication efforts related to college events, including conferences, workshops, and staff meetings by curated information from across campus.
  • Develop communication plans to promote and highlight key events, ensuring participation and engagement.
  • Curate engaging and informative event content for internal communication channels including intranet, emails and other platforms.
  • Ensure consistency of messaging and distribution for event communications.
  • Work with the Director of Marketing to maximize efficiency by developing and implementing a strategic approach to communicating events across campus.
  • Collaborate with the marketing team as an engaged member of the team
