Job Description

Omni Austin Hotel Downtown is seeking a customer-focused Convention Services Manager to join our team. As a Convention Services Manager, you will act as the liaison between the hotel and client while servicing groups through the planning process and on-site execution of the event or stay.

Responsibilities

  • Serve as the primary liaison between the client and all hotel departments during the planning phase, on-site execution and post event bill review.
  • Understand the client's needs and objectives for their event, and work with them to develop a comprehensive plan that meets or exceeds their expectations.
  • Develop creative solutions to unique requests, problems, or challenges that may arise.
  • Serve as the point of contact for all hotel departments during the event, coordinating their efforts to ensure that all event needs are met in a timely and efficient manner.
  • Respond to any issues or concerns that may arise during the event, and take whatever steps are necessary to resolve them quickly and satisfactorily.
  • Prepare group resumes and banquet event orders that are accurate, detailed, and timely.
  • Establish a method of payment with groups, request deposits and prepare accurate billing estimates.
  • Participate in all regular and operational meetings as required.
  • Be knowledgeable on banquet menus and offerings.
  • Partner with culinary team to create custom menus.
  • Drive revenue by creative upselling.
  • Provide accurate forecasting for room block pickup and food/beverage revenue.
  • Conduct a post-event debrief with the client to review their satisfaction levels and identify areas for improvement.
  • Mentor to the Marketing & Event Coordinator.
  • Adhere to all hotel standards.


Qualifications

  • Prior Hotel experience or Event Management experience is preferred
  • Must be able to work flexible hours to include weekend and holidays in order to meet the demands of a 24-hour operation
  • Excellent communication skills in all aspects: verbal, written and non-verbal
  • Bachelor's Degree preferred
  • Appropriate, professional appearance and presentation
  • Strong computer knowledge, with technical ability and/or aptitude to fully use Microsoft Word, Delphi/Salesforce (FDC), Excel, Outlook, and other management systems
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages.
  • Ability to work cohesively with co-workers both within and outside of the department
  • Ability to think clearly, quickly and make concise decisions
  • Ability to work well under pressure, dealing with many guest requests/questions within a short period of time
  • Strong organizational skills with the ability to prioritize and multi-task in a fast-paced environment.
  • Stand, walk or sit for an extended periods or for an entire work shift.
