Position Summary

The Grant Administrator - Systems is responsible for managing and optimizing grant management systems to support efficient and effective grant administration. This role involves overseeing system functionality, ensuring data integrity, providing user support, and facilitating training for staff and stakeholders.

Responsibilities:

Essential functions and responsibilities include, but are not limited to:



  • System Management:

    • Work closely with the Director of Grants Strategy and Operation to administer and maintain grant management systems, ensuring they meet the needs of the grants team and the organization.
    • Monitor system performance and implement improvements to enhance functionality and user experience.


  • Data Management:

    • Ensure the accuracy, integrity, and security of grant and contract data within the systems.
    • Develop and implement data entry protocols and best practices for staff.


  • User Support and Training:

    • Provide technical support to users, troubleshooting issues and resolving problems related to the grant management systems
    • Conduct training sessions for staff and stakeholders on system features and functionalities.


  • Procurement

    • Work alongside the Director of Grants Strategy and Operations to create a procurement strategy as it relates to Government Grants.
    • Maintain standardization and compliance across all forms of expensing.
    • Facilitate the acquisition of goods and services expensed to Government Grants.
    • Identify opportunities to reduce redundancy and enhance processes and procedures.


  • Reporting and Analysis:

    • Work alongside the Director of Grants Strategy and Operations to generate and analyze reports related to grant applications, funding, and compliance.
    • Collaborate with finance and program teams to create reports that support decision-making and strategic planning.


  • Process Improvement:

    • Identify opportunities for streamlining grant management processes through system enhancements or automation.
    • Collaborate with stakeholders to gather requirements for system upgrades and new functionalities.


  • Collaboration:

    • Work closely with IT and other departments to ensure integration of grant management systems with other organizational systems.
    • Engage with external partners, including funding agencies, to align systems and processes.




Qualifications



  • Bachelor's degree in information systems, public administration, nonprofit management, or a related field. Master's degree preferred.
  • Minimum 3-5 years of experience in grant administration or systems management.


Knowledge Skills, and Abilities



  • Familiarity with grant management software (e.g. Workday) is highly desirable.
  • Strong analytical and problem-solving skills, with the ability to interpret data and generate actionable insights.
  • Excellent communication and interpersonal skills.
  • Proficiency in database management and reporting tools.
  • Attention to detail and strong organizational skills.


Certifications:





    • Relevant certifications in grant management or systems administration are a plus.

Work Hours - Full time (based on 37.5 hours work week)
Grade: 509, exempt (Estimated Annual Salary $80,000.00 - $90,000.00)
