Position Purpose

The Native American Program ( NAP) supports the well-being and success of Indigenous students at Dartmouth. The NAP's core work includes: advising and engagement, leadership and community development; education and training; and, advocacy.
Under the direct supervision of the Director, the Office Manager provides comprehensive, high-level support for the Native American Program by providing support and assistance to the Director and the entire office staff; overseeing the day-to-day operations of the office and prioritizing and adjusting workload to ensure efficient, and timely accomplishment of administrative and logistical support functions.

This full-time, onsite position supports the program by overseeing daily operations, managing administrative functions, and assisting the Director and staff. Required Qualifications - Education and Yrs Exp Associates or equivalent combination of education and experience
Required Qualifications - Skills, Knowledge and Abilities
* Five years of administrative experience in roles with increasing levels of autonomy and responsibility.
* In-depth knowledge of office management practices and procedures.
* Excellent interpersonal and communication skills.
* Must have excellent organizational and project management skills as well as the ability to multitask.
* Demonstrated skill in problem-solving, decision-making, and troubleshooting.
* Strong organizational skills and ability to respond appropriately to pressures, deadlines and frequent changes in priorities and schedules
* Ability to handle highly sensitive information and maintain confidentiality.
* Adept at working with a highly diverse community.
* Proficiency in Microsoft Office and knowledge of computer databases and electronic communications software; ability and initiative to learn new systems and programs.
* Knowledge of budget management/accounting/statistics procedures and practices.
Preferred Qualifications
* Background and demonstrated familiarity with Native American and Indigenous communities and issues concerning Native Americans and Indigenous peoples in higher education.
* Demonstrated experience in project and event management.
* Experience working in Student Affairs.

Description
Office Management
* Plans, manages, and coordinates all administrative functions for the Director and the Native American Program.
* Establishes deadlines, determines priorities and coordinates and adjusts workload.
* Anticipates and recognizes problems and/or issues and brings them to the attention of the appropriate staff member.
* Develops, implements, and modifies office systems and administrative policies and procedures.
* Oversees and coordinates the details of the daily appointment/schedule calendar for the Department and the Director to ensure the most efficient use of their time.
* Oversees the maintenance, modifications, and improvements to office facilities, resources, and supplies in conjunction with relevant campus departments.
* Coordinates the use of NAP-managed facilities by students and other campus constituents.
* Supports the office's mission to foster inclusiveness and to serving the needs of Native and Indigenous students.

Description
Personnel Administration
* Hires, supervises, trains, and evaluates performance of student administrative office staff.
* Ensures adequate department administrative support staffing.
* Provides logistical support and oversight for Native American Program staff recruitment, including advertising, correspondence with candidates and coordinating search committees.
* Trains NAP staff in systems, policies, or procedures where needed.
* Records and tracks vacation and personal time for all members of the staff.
* May coordinate personnel actions, e.g. student payroll authorizations and timesheets, or accident reports for all NAP staff.

Description
Budget and Administration
* Uses resources effectively and seeks ways to continually improve and enhance the work of NAP.
* Participates in development of annual budget; researches historical and other data and estimates costs of expenses.
* Administers the approved budget; monitors and approves expenditures, reconciles budget reports, projects budget shortfalls/excess, and re-allocates funds.
* Develops systems to track spending and resolution of budget discrepancies.
* Oversees all purchasing for the office.
* Provides financial updates regularly to the Director and reports as needed.

Communication
* Serves as a primary contact representing NAP to the Dartmouth community and beyond.
* Screens visitors and callers and decides appropriate action based on priorities, commitments, and interests of
* Maintains cognizance of working within a diverse community and enhancing diversity and acts appropriately regarding diversity in dealing with others.
* Coordinates print, electronic, and web communication, promotion and publicity for the Office.
* Interprets, applies and conveys office, department, and College policies and procedures on behalf of NAP.

Description
Information/Records Management
* Organizes and manages print and digital records, correspondence and other files in the Department/Office.
* Coordinates collection of annual statistical information and consolidates data.
* Screens and reviews incoming correspondence and e-mail for prioritization and forwards to appropriate individuals for action.
* Works with IT staff and the Helpdesk to troubleshoot various issues.

Project/Event Coordination
* Plans, coordinates and oversees programmatic logistics and event management as requested by the Director.
* Coordinates all travel and conference arrangements for NAP staff.
* Coordinates, attends and participates in various meetings/committees as requested by the Director.
* Records minutes of staff meetings.
* Plans, coordinates and oversees NAP activities (i.e. staff retreats) including those with related departments.
* Evaluates project effectiveness and recommends changes to policies and procedures.
