Job Summary

The Desk Operations Lead (DOL) is a part-time, paraprofessional staff member of the Department of Housing and Residential Experience at Florida International University. The Desk Operations Lead works closely with all Residential Experience Staff in their particular area of placement. The Desk Operations Lead is responsible for front desk operations. The Desk Operations Lead assists Building Leadership in the administrative oversight of the front desk area and provides additional support in the residential hall management.

The Desk Operations Lead is expected to perform a variety of duties that contribute to the overall operation of the front desk in the residence hall. The Desk Operations Lead is expected to:

  • Provide excellent customer service to students, families, and staff by phone, email, and in person
  • Abide by and enforce Housing & University policies, rules and regulations and provide documentation of policy violations to a supervisor
  • Uphold and maintain confidentiality with sensitive and protected student information
  • Be a receptionist for the front desk, serving as an information resource to callers, taking messages, and forwarding calls appropriately
  • Report building maintenance concerns through work orders or on-call protocols
  • Complete administrative tasks (reviewing desk logs, completing core changes, timekeeping, and communication)
  • Conduct weekly key audits and key management
  • Monitor and keep inventory office supplies
  • Assist with trainings, staff development, and evaluations (as needed); may also assist with interviewing and hiring
  • Support building opening/closing processes
  • Staffing front desk if Desk Assistant staff are unavailable
  • Attend staff/training meetings as required
  • Maintain front desk schedule updated and tracking shift swaps and hours worked
  • Complete all mandatory trainings required by HRE and FIU Compliance office
  • Assist with departmental events such as Fall Showcase, Admitted Students Day, Move In and Move Out
  • Serve as mandated reporters and refer students to appropriate resources on campus
  • Be aware of services and resources available to students in order to make appropriate referrals
  • Assist and refer emergency crisis situations to supervisors and submit proper documentation post incident
  • Perform other duties as assigned by supervisor(s)
Minimum Qualifications

The following criteria must be met in order for a student to be given initial consideration as a candidate for the DOL position:

  • Be a currently enrolled at FIU as a full-time undergraduate or graduate student and make progress toward academic progress/graduation
    • Undergraduate: Possess and maintain a minimum semester and cumulative GPA of 2.75
    • Gradate: Possess and maintain a minimum semester and cumulative GPA of 3.0
  • Worked as a Desk Assistant for (1) one Fall and (1) one Spring semester
  • Able to work on Thursdays from 3pm to 6pm
  • Applicant must be able to work various front desk shifts including overnight, early morning, and weekend shifts
  • Must meet all eligibility requirements for employment as stipulated by Florida

Student Disclosure

  • Applicants must be currently enrolled as a student at FIU with a minimum of six (6) credits as an Undergraduate student or three (3) credits as a Graduate student during the Fall and Spring semesters.
  • During the Summer semesters, Students need only remain enrolled and are not required to take credit hours, but cannot have graduated.
  • Upon decreasing credit hours or graduating, student employment must end.
Work Schedule

Front desks are open 24/7 and remain operational throughout break periods: Thanksgiving, Winter and Spring break. The Desk Operations Lead will receive a biweekly paycheck for their hours worked during the applicable pay period. FIU students cannot work more than 20 hours per week while classes are in session during the academic year (students are permitted to work up to (30) thirty hours per week during break periods and in the summer).

$17.00/hour
