Job Summary

Uses advanced administrative concepts and organization objectives to resolve complex issues. Manages, plans, administers and coordinates the administrative operations of a small to mid-sized academic or non-academic department or organizational unit, the operations of which are significantly complex and / or broad in scope. Typically reports to a Chair, Director, or equivalent administrative management. Performance of administrative operations activities are the predominant focus of position; may supervise support staff or small number of professional staff within or outside the scope of main business activities (e.g., student services, facilities, etc.). Performs short and long term planning for the function. Regularly works on highly complex issues where analysis of situations or data requires an in-depth evaluation of variable factors. Exercises judgment in selecting methods, techniques and evaluation criteria for obtaining results. Erroneous decisions or failure to achieve goals result in additional costs, and serious delays in overall schedules.

Under the general supervision of the Center for Faculty Educators (CFE) director, Academy of Medical Educators (AME) Program Manager leads a range of high-level and high-profile programs that impact faculty and staff across the campus. These programs include, but are not limited to: the annual Academy of Medical Educators Membership annual application process, the Innovations Funding in Education intramural grant program, and the Education Scholarship/Education Showcase annual conference. The incumbent is expected to independently formulate innovative solutions and creative approaches to a range of complex administrative projects, to interact professionally with constituents and stakeholders campus-wide and nationally, and to collaborate closely with Academy members to accomplish programmatic goals. Using well-developed program management and analytical skills, this position is independently responsible for the duties assigned to it. The incumbent reports to the Director of the Center for Faculty Educators and works closely with the AME faculty director. May supervise staff or students. Demonstrates good judgment in selecting methods and techniques for obtaining solutions.

The final salary and offer components are subject to additional approvals based on UC policy.

Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

The salary range for this position is $101,600 - $157,500 (Annual Rate).

Department Description

The Office of Medical Education (OME) promotes academic excellence across the continuum of medical education through faculty development and educational research; learning technology and instructional support; program and learner evaluation; institutional reporting on education; and accreditation and institutional policy for the 26 academic departments that make up the School of Medicine which includes over 2000 teaching faculty, 715 enrolled medical students, 1800 residents and fellows and over 30,000 continuing education activities each year. The Office of Medical Education sets all strategic directives for medical education across the enterprise.

The Center for Faculty Educators (CFE) is a unit within OME comprised of approximately 9 staff who provide administrative services to core programs: Academy of Medical Educators (AME), faculty development, education research, and support for volunteer clinical professor educators. The CFE staff supports the faculty of AME and CFE as they focus efforts on developing and mentoring educators, providing leadership and service, and collaborating in educational research. CFE staff play a central role in developing the next generation of educational leaders by managing and implementing programs and resources, including financial management, by supporting faculty in their educational endeavors and in finding opportunities for teaching, skills development, mentorship, scholarly collaboration, and recognition of achievement in their roles as teachers and educational researchers.
The CFE advances this work with a commitment to advancing diversity, equity, inclusion and anti-racism, anti-oppression in health professions education. This role works primarily with the directors of the AME and CFE as well as leaders of the respective AME committees.

The Academy of Medical Educators is a campus-wide service organization dedicated to promoting and rewarding teaching excellence, supporting educators and mentors, fostering curricular innovation, and encouraging research in health professions education. With nearly 300 Academy members representing most of the School of Medicine's academic departments and 5 departments from other UCSF schools, the Academy is an interdepartmental community of educators across the health professions at UCSF.

Required Qualifications


  • Bachelor's degree in related area and / or equivalent experience / training.
  • 5+ years of directly relevant experience.
  • Experience managing projects, project timelines and cycles.
  • Advanced interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills.
  • Advanced knowledge of a variety of administrative operational activities such as event planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines.
  • Ability to use discretion and maintain confidentiality.
  • Advanced skills in short- and long-term strategic planning, analysis, problem-solving and customer service.

Preferred Qualifications


  • Advanced knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and / or personnel management.
  • Advanced knowledge of common University-specific computer application programs.
  • Advanced knowledge of financial analysis and reporting techniques, and / or human resources policies and procedures for staff and academic employees.
