Executive Assistant who will also serve as the Executive Business Partner to our General Manager. This role requires you to be onsite at our Oakland Rainin site the majority of the time with flexibility to work from home up to 2 days per week.
As the Executive Assistant & Executive Business Partner, you'll help build, refine, and deliver best in-class leadership support.
You'll be responsible for a variety of initiatives that support our GM's daily business dealings. We're looking for a positive, empathetic, and optimistic individual who thrives in a fast-paced, sometimes ambiguous environment. A decisive problem solver, organized project manager, and "get it done" person who excels in connecting with people.
Essential Duties and Responsibilities
- Serves as the primary point of initial contact for internal and external parties on key matters pertaining to the Office of the General Manager.
- Calendar Management: Oversee a dynamic and ever-changing calendar, including booking all domestic and international travel (both personal and business).
- Meeting Coordination: Schedule and manage internal and external meetings, including team meetings, departmental off-sites, one-on-ones, speaking engagements, and personal engagements.
- Keep executive staff meeting minutes and agendas.
- Project Management: Work closely with our GM to drive cross-functional projects and associated timelines. Facilitate the deliverables on key executive staff projects and manage the tracking and progress of quarterly reports.
- Locates and compiles business information (e.g., financial reports, technical data, market research); performs some analysis and synthesis to support projects as needed.
- Manages documentation, to include correspondence, financial reports, contracts, and legal documents.
- Ensures efficient organization, security, and controls.
- Assists in handling sensitive and/or confidential matters for members of the leadership team; periodically performs independent research and analysis to support business decision-making.
- Candidate Support: Provide coordination support for candidate interviews as needed.
- Time Management: Handle multiple requests for the Executive's time, using strong judgment in prioritizing requests.
- Presentation Management: Build and manage board decks and company presentations, collaborating with cross-functional leadership teams for monthly and quarterly All Hands meetings.
- Support the GM writing various internal and external communications.
- Culture Contribution: Act as a culture-contributor by highlighting and celebrating important team cultural and career moments, such as birthdays, work anniversaries, and special personal life celebrations.

What You Need to Succeed
Education, Experience & Skills
- Education & Experience: BA/BS or equivalent experience, with 5+ years of experience as an Executive Assistant supporting senior executives.
- Previous experience in Executive Business Management, Chief of Staff, or Project Management roles is essential.
- Skills: Exceptional communication and interpersonal skills, with excellent calendar management capabilities.
- Attributes: A proactive, creative problem solver who can anticipate needs and work with limited supervision. Strong self-starter with the ability to maintain high levels of confidentiality. Able to adapt to ambiguity and work outside normal business hours when necessary.
- Networking: Ability to build strong relationships and a personal network throughout the company, both in-person and remotely.
- Strong business acumen and the ability to create and maintain spread sheets, databases, and data displays.
