Job Description
The job of Payroll Specialist was established for the purpose/s of providing timely and accurate payment of school employees; ensuring the accuracy of time sheets, preliminary reports, spreadsheets, employee records, etc.; and addressing payroll related inquiries. Qualifications: Education: High school diploma or equivalent. Experience: Job-related experience within the specialized field with increasing levels of responsibility required. Essential Functions
- Administers the payroll for summer school employees for the purpose of ensuring employees are paid in a timely manner.
- Attends meetings for the purpose of conveying and/or receiving information required to perform functions.
- Communicates with a variety of internal and external parties (city/state/federal agencies, etc.) for the purpose of ensuring accurate processing of payroll deductions/garnishments.
- Coordinates time reports for the purpose of verifying the accuracy of totals, authorized signatures and other documentation's.
- Issues extra checks for the purpose of correcting discrepancies in employee pay.
- Maintains payroll information, files and computer records for the purpose of providing an up-to-date reference and audit trail.
- Monitors payroll processes for the purpose of ensuring the timely and accurate processing of payroll and related fringe benefits.
- Performs record keeping and general and program specific clerical functions (e.g. scheduling, copying, faxing, etc.) for the purpose of supporting departmental operations.
- Prepares paychecks for distribution for the purpose of ensuring accuracy of checks and timely receipt by employees.
- Prepares written materials (e.g. payroll and benefit reports, transmittal memos, letters, etc.) for the purpose of documenting activities, providing written reference and/or conveying information.
- Processes non-payroll-related documents (e.g. retirement payouts, court ordered adjustments, FMLA, subpoena of payroll records, etc.) for the purpose of updating records and transmitting information.
- Processes payroll information (e.g. time reports-reductions, deductions, contributions, refunds, corrections, garnishments, direct deposit transmissions, withholding information, etc.) for the purpose of updating records and transmitting information.
- Researches discrepancies of payroll information and/or documentation (e.g. time sheets, leave time, etc.) for the purpose of ensuring accuracy and compliance to policies prior to processing.
- Responds to written and verbal inquiries for the purpose of providing information and/or direction.
- Supports assigned administrator for the purpose of providing assistance with their administrative functions.
- Verifies a variety of payroll related information (e.g. time sheets, direct deposits, wage attachments, benefits, etc.) for the purpose of ensuring accurate distribution of funds and payroll.
- Assists other personnel as may be required for the purpose of ensuring an efficient and effective work environment.
Skills, Knowledge and Abilities SKILLS are required to perform single, technical tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skill-based competencies required to satisfactorily perform the functions of the job include: operating standard office equipment using pertinent software applications;payroll procedures; and preparing and maintaining accurate records. KNOWLEDGE is required to perform algebra and/or geometry; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and solve practical problems. Specific knowledge-based competencies required to satisfactorily perform the functions of the job include: office application software; business telephone etiquette; and payroll/accounting procedures. ABILITY is required to schedule activities; often gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to work with others in a wide variety of circumstances; work with data utilizing defined but different processes; and operate equipment using defined methods. Ability is also required to work with a diversity of individuals and/or groups; work with data of varied types and/or purposes; and utilize specific, job-related equipment. Problem solving is required to identify issues and create action plans. Problem solving with data frequently requires independent interpretation of guidelines; and problem solving with equipment is limited. Specific ability-based competencies required to satisfactorily perform the functions of the job include:
- maintaining confidentiality; meeting deadlines and schedules; working as part of a team; establishing effective working relationships;and working with frequent interruptions.
- Responsibilities include: working under limited supervision following standardized practices and/or methods; leading, guiding, and/or coordinating others; and tracking budget expenditures. Other Responsibilities
- The usual and customary methods of performing the job's functions require the following physical demands: occasional lifting, carrying, pushing, and/or pulling; some stooping, kneeling, crouching, and/or crawling; and significant fine finger dexterity. Generally the job requires 70% sitting, 15% walking, and 15% standing.
- This job is performed in a generally clean and healthy environment.
