The Surgery Practice Coordinator (PC) is primarily responsible for coordinating and scheduling all outpatient and inpatient surgeries for the surgical practice. S/he will ensure that all surgical procedures are scheduled within a clinically appropriate time frame and will interface with patients, physicians, and hospital staff to ensure adequate communication regarding all aspects of surgical services. S/he will work closely with the attending and resident physicians to ensure patient appropriate surgical schedule placement and will be responsible for coordinating/scheduling all pre and post op appointments with surgeon, in addition to biometry, anesthesia clearance, and COVID testing. S/he may also be required to coordinate patient transportation to and from hospital, as well as work with social workers to address other patient needs related to surgery. This position will also require frequently managing complex scheduling coordination related to securing OR time outside of designated block time in the operating room. S/he supports all functions of the clinical teams including but not limited to: Patient scheduling, telephone encounters, referrals, scanning, filing, authorizations, and billing.

The Surgery PC is responsible for the maintenance of the surgery scheduling database and communications regarding data related to pending surgeries. S/he will adhere to the ZSFG telephone standards and is sensitive to the needs of patients, staff and providers at all times.

The Surgery PC is a team player who works closely with others and who is flexible in dealing with the changing priorities. S/he is a self-reliant individual who synthesizes his/her knowledge of practice operations in order to problem-solve, prioritize and facilitate complex transactions in the course of his/her daily activities.

The final salary and offer components are subject to additional approvals based on UC policy.

Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

The salary range for this position is $31.91 - $45.70 (Hourly Rate).

Department Description

The UCSF Department of Ophthalmology consists of approximately 230 employees including faculty, basic scientists, postdoctoral scholars, graduate students, residents, fellows, clinical and research staff. The Department is currently the #1 recipient of funding from the National Eye Institute (NEI) and Research to Prevent Blindness among peer departments nationwide. Research is further enhanced by an NEI P30 Core for Vision Research which includes equipment and support for a wide range of services such as advanced imaging, computation, rapid prototyping, IT, and histology services. The Department sponsors numerous invited speakers, research seminars, journal clubs, as well as a postdoctoral training program focused on mentorship, networking, and recognition.

Required Qualifications


  • High school graduate or equivalent with four years related experience; or college degree and 6 months related experience; or equivalent combination of education and experience.
  • Strong computer skills, including basic keyboarding skills, and experience with at least two office-type software programs (i.e., Outlook, Work and Excel). Proven ability to navigate through multiple patient record systems.
  • Ability to analyze situations, prioritize and develop solutions and make recommendations.
  • Ability to work independently with minimal supervision.
  • Ability to use good judgment and work independently, at time under the pressure of deadlines.
  • Ability to assess situations, prioritize workload and develop solutions and make recommendations.
  • Excellent customer service and communication/interpersonal skills, both over the telephone and directly.
  • Able to sit at a computer terminal with telephone headphones for extended periods of time.
  • Basic math skills required.
  • Proven ability to deal with a wide variety of individuals;
  • Ability to deal sensitively and effectively with patients.
  • Excellent organizational and problem-solving skills.
  • Strong writing skills to include the ability to compose, edit, and proof a wide variety of documents.
  • Demonstrated administrative/office coordination skills.
  • Demonstrated knowledge of medical practice terminology.
  • Uses effective communication skills with patients and staff; demonstrates proper telephone techniques and etiquette; acts as an escort to any patient or family member needing directions; shows sensitivity to differences of culture; demonstrates a positive and supportive manner in which patients / families/ colleagues perceive interactions as positive and supportive.
  • Exhibits teamwork skills to positively acknowledge and recognize other colleagues, and uses personal experiences to model and teach Living PRIDE standards.
  • Exhibits tact and professionalism in difficult situations according to PRIDE Values and Practices
  • Within six months of start date, based upon completion of training, the Supervisor, completes the proficiency checklist with the employee. This includes the following areas if applicable

Preferred Qualifications


  • Demonstrated experience in health care (may include medical, dental or veterinary) in the following areas: patient scheduling, insurance verification, medical record data abstraction, or patient financial services.
  • Prior experience with appointment, ancillary service or surgical scheduling or a combination of all three.
  • Bi-lingual or multi-lingual capability (Tagalog, Spanish and Cantonese) strongly preferred
  • Prior experience working with EMR Experience with Epic/Apex strongly preferred.
  • Demonstrated understanding of Ophthalmology terminology and experience in the Department of Ophthalmology
