Description

We are seeking an Executive Assistant who will be reporting to the COO and supporting the leaders in the Operations group. The Executive Assistant will be someone who thrives in providing organizational support to the team and is eager to aid in productivity of the department.

What you'll do:



  • Provide general administrative support, including managing calendar and scheduling meetings, booking travel arrangements (including car service, flights, and hotels)
  • Submit expense reports
  • Traffic paperwork that is sent to the COO for approval
  • Communicate with key in-house stakeholders and external contacts as needed to share meeting plans and updates
  • Periodically take on special projects


What you'll bring:



  • Strong communication skills with the ability to present information in a clear, concise manner
  • Excellent minute-taking and writing skills
  • In-depth knowledge of video conferencing tools (Zoom, Google Meet, etc.) and Google Drive (including best practices for sharing and collaboration with documents and calendars)
  • Ability to anticipate and proactively address supervisor's needs
  • Excellent organizational and follow-through skills
  • Ability to prioritize and multi-task in order to meet deadlines in a fast-paced environment
  • Ability to work collaboratively as well as autonomously
  • Advanced computer skills including GSuite (Drive, Google Meets, Gmail), Microsoft Word, Excel, Power Point, and Outlook.


Ideal experience:



  • 5+ years administrative experience in an office environment
  • Previous experience supporting a senior level executive preferred, but not required.
  • Interest in the publishing industry


This role will have an annual salary of $70,000 - $75,000.
