About The Role:
We are looking for a talented Senior Occupancy Planner to join our team. As a Senior Occupancy Planner, you will partner with end users to develop innovative space solutions, ensure the consistent delivery of planning services, and manage and report occupancy data in alignment with the client's workplace programs and strategy. You'll operate within a dynamic and forward-thinking culture, utilizing your expertise in occupancy strategy and collaborative workplace practices to recommend multiple solutions for complex occupancy problems. This position will be based in New York, NY, and you will report to the Regional Occupancy Planning Lead. Please note that this is a hybrid position requiring 3 days onsite each week. What You'll Do: Relationship Development and Management Develop robust relationships with end-users by thoroughly understanding their business needs, workflows, and processes. Utilize this understanding to foster seamless solution development for planning issues. Leverage industry-leading knowledge and insights from other clients and external research to inform client solutions and recommendations, ensuring the delivery of best-in-class expertise. Utilize strong interviewing and listening skills to interpret and translate customer's stated business needs into scope and space requirements. Demonstrate a high degree of flexibility in adapting to rapidly evolving business needs, effectively resolving new requirements and scope challenges. Apply critical thinking to dynamically address planning challenges, ensuring thoughtful and well-rounded solutions. Demonstrate strong engagement with executive management by showcasing the ability to navigate and exert influence at senior levels. Ensure effective management of change by proactively anticipating impacts and facilitating seamless transitions for both end-users and stakeholders. Be open to domestic travel as required. Space Planning Apply advanced expertise in workplace design principles, including agile methodologies, design thinking, and flexible/collaborative workplace concepts, to develop innovative and highly functional space designs. Develop and execute comprehensive business programming and restack strategies, optimizing space utilization and enhancing operational efficiency through allocation plans, adjacency diagrams, test fits, migration plans, and move sequencing. Employ creative and analytical thinking to identify multiple solutions for complex occupancy challenges, such as M&A, rapid growth, consolidations and economic disruptions, ensuring adaptable and scalable strategies. Utilize bottom-up and top-down headcount projections to accurately forecast future space demand over a one to three-year horizon, proactively planning space and resources. Develop compelling business cases for real estate actions by integrating various factors, such as business requirements, client programs/initiatives, timelines, lease options, current space availability and projected future demand. Aggregate, analyze and present data to derive actionable insights that tell compelling stories and inform recommendations for effective decision-making. Utilize advanced Excel skills, including pivot tables, data analysis and complex formula creation to support space planning and reporting needs. Create visually captivating and impactful presentations, effectively conveying findings and recommendations in a comprehensive and persuasive manner to stakeholders and clients. Space Data Management & Reporting Deeply understand building data, organizational data and occupancy metrics at various levels such as campus, metro or regional, delivering comprehensive reports and insights to inform strategic decision-making. Continuously evaluate, monitor, and report on cost-saving initiatives and value-added contributions, using data-driven analytics to enhance operational efficiencies and achieve monetary and qualitative outcomes. Manage space allocations and ensure data accuracy, performing quarterly data and drawing audits, utilizing the CAFM/IWMS database. Conduct physical space audits and walkthroughs as needed to assess utilization, identify improvement opportunities and promote effective space use. Streamline and oversee conference room restriction programs across multiple sites. What You'll Need: Bachelor's degree in management, architecture, design, real estate, construction, or a related field. 5 to 10 years of strategic-level work experience in occupancy or space planning, including interior office planning or move/project management in a corporate real estate setting. Demonstrated critical thinking and problem-solving abilities. Experience with change management and executive engagement, showcasing the ability to impact and influence senior leadership effectively. Excellent written and verbal communication skills, with the ability to tactfully deliver difficult messages and tailor information to the audience. Self-motivated, with the ability to work independently and collaboratively in building relationships and interacting effectively with business partners. Comfortable with frequent or rapid change, adaptable to shifting priorities. Effective time management skills, with the ability to organize and prioritize deliverables and workload. Demonstrated consistency in values, principles and work ethic, with a commitment to providing exceptional client service. Advanced proficiency in MS Office (Excel, PowerPoint and Word), including the ability to perform data analysis using pivot tables and complex formulas. Quick to learn and master client-specific programs. Proficiency in Google Workspace and Adobe Acrobat. Proficiency in AutoCAD for test fit option development (intermediate to advanced proficiency preferred). Proficiency in CAFM/IWMS database systems such as FMS, Manhattan, Tririga, Archibus or similar (intermediate to advanced proficiency preferred). |
