Job Description Summary

The Workplace Coordinator is the key support resource for the Workplace Manager in ensuring service excellence and enhanced experience for the users and occupants within the workplace.
The ideal candidate will have exceptional skills in customer service, strong knowledge of the local community, and the ability to support facilities management professionals in a faced-paced environment.
In addition, the purpose of this position is to support the facilities organization at a specific campus. The position is charged with the day-to-day implementation of policies, procedures and programs that will assure a well-managed, well-maintained building, placing maximum emphasis on positive response to the concerns and needs of the occupants.

Job Description

This role is a part time position from 7am-12pm Mon-Fri.

Responsibilities

General

To be a visible member of the Workplace team within the assigned location.

To be accountable for the working environment at the location, to ensure a consistent high quality workplace experience for colleagues and visitors at all times.

To understand and live the Sage values at all times, and to be able to articulate what they mean and how they are applied in the execution of WC responsibilities.

To understand, commit to and uphold the Operating Principles of the C&W-Sage contract.

To understand Sage priorities as they apply to the location.

Supply chain

To ensure all third party services are delivered to the commitments of the global contract.

To recommend changes to third party supplier arrangements where service quality, commercial or compliance matters are compromised.

Service quality

To establish and maintain relations with key Sage colleagues in the location, as the trusted source of assistance and support as required.

To input to the 9-point Key Performance Indicator (KPI) system for the location - based on colleague, commercial and compliance.

To help manage minor works as directed by Sage, assisting the WM.

To help ensure the Workplace Guide (full services directory) for the location remain up to date at all times.

To work closely with the Sage IT team to ensure a seamless service in the location in areas such as access and security, visitor management, desktop IT, network availability and reprographics.

Commercial

To effectively and diligently help manage cost against budget for the location.

To identify any risks or threats to meeting budget as soon as they are known.

Compliance

To help manage commercial risk at the location, assisting with the maintenance of an up to date register, as required to minimize and mitigate the potential effects of known and unforeseen risks.

To contribute to the management of health and safety in the location, minimising or removing the potential for lost time incidents, and completing all required audit requests.

To help ensure the location complies with the defined foundation standards ('Sage Workplace') using the assessment tool as directed.

To contribute to the effective management of sustainability within the location as directed by Sage.

To contribute to the effective management of the requirements of the Sage Business Continuity Programme (BCP) at the location.
