If so, we're looking for someone like you to join the STEM Program Management Office at APL.

We are seeking a detailed and dynamic team member with a can-do attitude to help us develop the next generation of stem talent. APL's STEM Program Management Office engages over 3,000 students each year in authentic STEM experiences with the goal of exciting and preparing those students to be the future innovators of tomorrow. In the STEM office, our work is personally rewarding, collaborative, and dynamic. In other words, we take our work seriously, but have a lot of fun doing it. As the STEM Program Management Office Assistant supporting our internship program, your job is essential to the success of our mission.

As the STEM Program Assistant you will be expected to operate with minimal supervision, adjudicate competing needs to provide programmatic support, and solve problems. Your primary responsibilities will be to work with the STEM Program Specialists to do the following:

  • Reserve space, prepare for, set up, and break down rooms. Place food orders and facilitate material and equipment moves. And maintain calendars for events.
  • Use various messaging platforms such as Slack, SMS, email, and others as appropriate to communicate with students and mentors.
  • Support student, mentor, and teacher/instructor registrations. Support student, mentor, and teacher/instructor onboarding and offboarding. And facilitate surveys and survey collection.
  • Place orders, reconcile payments, and process reimbursements and check requests.
  • Coordinate laptop exchanges, badge requests and returns, and process visitor control requests.
  • Support the maintenance of the STEM Center and associated equipment. Keep inventory of materials and equipment, update information on the internal and external STEM websites, collect data for reports, and serve as an administrator for our learning management system.
  • Help respond to program-related questions from students, parents, and staff about our programs.

Qualifications

You meet our minimum qualifications for the job if you...

  • Have a high school diploma or equivalent.
  • Have at least 3 years of experience as a program assistant or office manager, performing duties including office management, event planning, detailed reconciliation of expenses, and handling external communications professionally and courteously.
  • Are proficient in the Microsoft Office Suite (specifically Excel).
  • Are highly organized and have demonstrated the ability to be efficient in a dynamic environment.
  • Have the ability to independently prioritize and manage multiple, concurrent tasks.
  • Can travel to out-of-state events on a limited basis.
  • Are willing and able to work evenings and weekends as needed to provide support during program surge periods - especially the first and last three weeks of program starts and finishes.
  • Can travel to local meetings and events.
  • Have the ability to stand and walk for several hours.
  • Can lift at least 30 pounds.

You'll go above and beyond our minimum requirements if you...

  • Have completed some business coursework in college or have a Bachelor's degree.
  • Have extensive project planning experience.
  • Have demonstrated experience administering learning management systems or student information systems.
  • Have been an assistant for a STEM program, or have been an assistant for an educational institution.

The referenced pay range is based on JHU APL's good faith belief at the time of posting. Actual compensation may vary based on factors such as geographic location, work experience, market conditions, education/training and skill level with consideration for internal parity. For salaried employees scheduled to work less than 40 hours per week, annual salary will be prorated based on the number of hours worked. APL may offer bonuses or other forms of compensation per internal policy and/or contractual designation. Additional compensation may be provided in the form of a sign-on bonus, relocation benefits, locality allowance or discretionary payments for exceptional performance. APL provides eligible staff with a comprehensive benefits package including retirement plans, paid time off, medical, dental, vision, life insurance, short-term disability, long-term disability, flexible spending accounts, education assistance, and training and development.
