Odle Management - A subsidiary of Eckerd Connects
Reports to the Education & Training Director and is an hourly, non-exempt position. Performs clerical tasks for the Education and Training department. Demonstrates on-going commitment to preparing young people for the workforce by modeling, mentoring, and monitoring excellence in the eight Career Success Standards of: workplace relations and ethics; information management; communications; multicultural awareness; personal growth and development; career and personal planning; people skills and independent living.
Duties and Responsibilities:
- Demonstrates and abides by Eckerd Connects Core Values and operating principles.
- Attend the OMS/At Risk/Projection Team meeting and scheduling meetings weekly.
- Completes purchase requisitions, check requests, petty cash, and performs market research for (Academics and CTT) as requested. Orders office supplies and equipment.
- Maintains student's schedule in the Center Information System (CIS). Opens and closes classes as needed.
- Creates changes to schedules based on student needs and audits current schedules to reflect correct student course profiles.
- Helps locate students (make announcements) when needed.
- Ensure an unexcused absence list is sent to all staff daily and corrects excused absences when appropriate.
- Reports any attendance inaccuracies immediately to supervisor.
- Enters class passes as appropriate & assists with recording attendance as appropriate.
- Ensures weekly that appropriate courses are closed in Profile.
- Creates and maintains spreadsheet for Academic & CTT manager to decide class assignment for new students.
- Conducts a weekly scheduling meeting.
- Ensure Driver's Permits and License Information is entered into CIS and assist with entering passes if needed.
- Maintain team calendar. Send calendar invites for team members' OOO calendar listings to Education and Training Department.
- Update vacation calendar, process vacation requests, ensures no conflicts in vacations.
- Record meeting minutes for team meetings and keep in log binder.
- Update any spreadsheets/logs when students separate.
- Fill out CTT completion certificates, have them signed, and mailed out.
- Ensures areas bulletin boards are up to date and informative.
- Log all certificates, CTT credentials, and HSDs. Credentials and HSD/HSE are immediately taken to the Records Department.
- Budget review.
- Assists with student incentive program.
- Creates certificates for students that go above and beyond.
- Creates visual aids for forms that need to be signed by students, such as step-by-step guides and filled out examples
- Update SOPs as directed.
- HSE - copies, messages, and mailings. Maintains HSE binder and board with new students and transcripts.
- Participates in coordinating staff training.
- Types reports, memorandums and other material from copy or rough draft.
- Proofreads and corrects grammatical, punctuation and spelling errors.
- Faxes and retrieves incoming messages.
- Answers departmental telephones and takes messages.
- Opens, screens and routes mail according to content.
- Sorts, alphabetizes, and files materials.
- Operates office machines and duplication equipment.
- May send and retrieve messages via email.
- Attends in-service training sessions.
- Performs center switchboard/reception duties as needed.
- Establishes and maintains confidential files and records.
- Collects, maintains, and distributes departmental staff mail daily.
- Maintains staff attendance records including gate sheets.
- Clearly communicates and consistently models appropriate Career Success Standards (CSS) and employability skills including personal responsibility and computer fluency.
- Maintains accountability of staff, students, and property, adheres to safety practices in all areas of responsibility.
- Cultivates and maintains a campus climate that is free of harassment, intimidation, and disrespect to provide a safe place for staff and students to work and learn.
- Serves as a "back-up" for General Clerk I as needed; General Clerk I will serve as "back-up" for this position.
- Performs other duties as assigned.

EDUCATION AND EXPERIENCE REQUIREMENTS:
- High School graduate or equivalent.
- One year's experience in a complex administrative capacity preferred.
- Expert knowledge of the Microsoft Suite of Applications.
- High level of communication, people skills, and organizational skills.
- Demonstrates the ability to manage several projects simultaneously with decision-making, flexibility, and problem-solving.
- Valid driver's license with acceptable driving record preferred.
Additional Requirements: Ability to proficiently operate a personal computer. Knowledge of word processing software applications. Good organizational skills. Working knowledge of office procedures. Excellent communication skills, both oral and written. Aptitude for mathematical computation. Ability to proofread, correct punctuation, grammatical and spelling errors. Sound telephone techniques. Position requires an ability to operate office equipment. In addition, an individual must be able to interact with team members and maintain an effective working relationship with all facility staff and departments.
