Program Specialist

The Program Specialist serves a vital role in operations by coordinating and providing logistics support for contract training programs by strictly adhering to training agreements and statements of work. The Program Specialist builds cohesive partnerships with business development representatives and product directors, effectively responds to client needs, and takes full responsibility for customer satisfaction by ensuring effective coordination of all aspects of program delivery.
Responsibilities:
- Receive, review for completeness, and process statements of work. Document and track contract requirements using various systems and update as necessary.
- Coordinate and support the delivery of training programs from initiation to closeout to ensure customer needs are met or exceeded.
- Participate in or conduct customer kickoff, orientation, and contract review meetings.
Confirm instructors for training sessions and provide administrative support to ensure the successful delivery of training programs. - Assist with identifying substitute instructors due to cancellations and emergencies, as necessary.
- Confirm, procure, coordinate, and set-up physical and virtual training space as required.
- Register students into training sessions and track enrollments.
- Order and secure course materials, training tools and supplies.
- Prepare and process travel authorization and expense reimbursement forms, handle discrepancies.
- Coordinate and respond to client requests for completion of forms.
- Process student attendance, continuing education units, credits and course certificates.
- Confirm instructors' completion of training assignments.
- Track and document training outcomes, including issues, risks and delivery costs.
- Safeguard inventory of training instruments, tools, and equipment.
- Perform other duties and management short-term projects as assigned
Requirements:
- Bachelor's degree
- Three years' business experience in sales, hospitality, event planning, or customer service environment.
- Ability to successfully support a book of contracts valued at $1.5+ million and function under pressure while providing exceptional customer service.
- Organized self-starter and motivated learner with strong attention to detail.
- Excellent customer service skills with dedication to exceeding the needs of customers.
- Strong verbal and written interpersonal skills and ability to master a variety of systems and databases.
- Ability to work in a deadline-driven environment, handling multiple tasks while maintaining quality.
- Ability to adapt to constantly changing priorities.
- Proficient with virtual meeting technology (MS Teams and Zoom) and MS Office Suite (Outlook, Word, Excel, SharePoint).
Compensation Range:
The compensation range for this role is $ 49,400 - $ 58,100.
