Academic Coordinator - College of Engineering - Mechanical Engineering Department

Carnegie Mellon University's Department of Mechanical Engineering (MechE) is an educational leader in areas such as advanced manufacturing, bioengineering, computational engineering, energy and the environment, product design, and robotics. Roughly eight hundred full-time students are enrolled in our degree programs, including approximately 400 undergraduates, 270 MS students, and 200 PhD students. These students are supported by a collaborative team of 39 faculty and 36 staff.

We seek a self-motivated individual to join the Department of Mechanical Engineering's academic team to handle several processes that are vital to the success of the department. This person will work closely with faculty and staff to ensure students have the encouraging and welcoming environment vital to reach their educational goals. The core responsibilities include course management, data analysis, and general administrative support for the academic team. For course management, you will assist with the scheduling of courses, track changes and make updates to course information in the connection with the hiring of students into course support positions. In addition, this person will be responsible for collecting and disseminating student/department data, assisting with several department events, and helping to run student spaces. This role also supports the academic team with basic administrative support not limited to: processing reimbursements, reconciling charges and assisting with collaborative spaces. The Academic Coordinator reports directly to the Manager of Events and Academic Coordination in the Mechanical Engineering Department.

Core Responsibilities:

  • Coordinates all aspects of course scheduling, oversight of new course approval and tracking, room reservations, waitlist management, course enrollment reservations, and serves as a proxy for grading when requested.
  • Manages the course support process, including course assistant, Undergraduate Teaching Assistant and TA assignments.
  • Assists with the MS student collaborative space.
  • Supports ABET data collection and documentation; Responds to requests for student/department data; Builds presentation of data.
  • Run reports for course enrollment data for Tech Spark billing 1 or 2 times each semester - coordinate this effort with Financial Analyst and Tech Spark staff.
  • Assist with undergrad faculty mentoring.
  • Processes reimbursements and reconciles P-Card transactions for Academic Team and functions of Academic Team.
  • Assist with coordination of Academic Team and Departmental events.
  • Back-up for qualifying exam coordination, assist with qualifying exam letters.
  • Responsible for seminar coordination, including scheduling, reimbursement, travel arrangements for guest speaker.
  • Acts as a liaison between the admin and academic teams.
  • Works with the HR department to make sure student workers comply with university policy and state law.
  • Assists faculty with course printing, office hours/ad-hoc room requests, equipment rentals, and exam proctoring when TA is unavailable.

Qualifications:

  • Associate's Degree
  • 1-3 years administrative support experience
  • Experience in higher education preferred.
  • Strong interpersonal, communication, problem-solving and reasoning skills
  • A combination of education and relevant experience from which comparable knowledge is demonstrated may be considered.
