Hiring Range

The University of California, Merced is required to provide a reasonable estimate of the compensation range for this role. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The full salary range for this position is Step 1 $29.92 - 17 $42.87. The budgeted hourly range that the University reasonably expects to pay for this position is Step 1 $29.92.

About the Job

Under direct supervision of the Director of the Bright Success Center, the Administrative Assistant provides departmental support for all of the programs & services at the Calvin E. Bright Success Center (BSC). This is a critical position providing executive assistant functions supporting the day-to-day operations of the BSC. Responsibilities of the Administrative Assistant include: coordination of schedule of the Director; purchasing; travel arrangement reimbursements; budget tracking and budget management, financial reporting including departmental budget transactions and reporting; coordination of special outreach activities and events; handling student/campus inquiries regarding BSC services; and prepares correspondence, reports, forms, and records releases and public information releases as assigned. The Administrative Assistant may supervise a team of student administrative coordinators that assist with purchasing, outreach, and customer service responsibilities. The Administrative Assistant must have the ability to function in a culturally diverse environment and must have the ability to remain calm and courteous with a wide range of student-staff-faculty behaviors.

KEY RESPONSIBILITIES

  • Purchase, organize, and distribute supplies, resources, and other materials for BSC programs and Services.
  • Provide logistical and administrative support to the programs and services offered by the BSC.
  • Coordinate and manage the schedule for Director of the Bright Success Center.
  • Provide excellent customer service skills and respond quickly to inquiries about the BSC from various Stakeholders.
  • Lead the logistical and administrative tasks related to the BSC's Alternative Spring Break trips.
  • Develop and manage a budget tracking system that aids the center with up to date costs and expenditures.
  • Budget maintenance by monitoring expenses and reconciliation of general ledgers on a monthly basis of all BSC accounts.
  • Organize and collect receipts, create purchase orders, manage new vendors, and produce other budgetary and administrative reports on an as needed basis.
  • Engage in and complete trainings, workshops, seminars, institutes, and other professional development activities.
Qualifications

EDUCATION & EXPERIENCE

  • High school diploma and/or equivalent certification/experience/training.
  • Bachelor's degree in a related field from an accredited institution. (Preferred)

AND

  • Minimum 5 years of related experience if the individual has a High School diploma.
  • Minimum 3 years of related experience if they possess a Bachelor's degree.
  • Minimum 2 years of administrative and/or logistical experience. (Preferred)
  • Minimum 2 years of customer service experience. (Preferred)
  • Minimum 1 year of student affairs or student support services experience. (Preferred)

CRITICAL KNOWLEDGE and SKILLS

  • Requires interpersonal and work leadership skills to provide guidance to other non-exempt personnel.
  • Thorough knowledge in administrative procedures and processes including word processing, spreadsheet and database applications.
  • Requires good verbal and written communication skills, active listening, critical thinking, multi-task and time management skills.
  • Microsoft skills, especially excel, and other productivity software packages. (Preferred)
  • Inter-cultural communication skills, written and verbal. (Preferred)
  • Budget management, budget tracking, and budget reporting. (Preferred)
