The part time Bids Administrator will support the sales staff and assist customers as needed for the Bids department. This is an exciting opportunity for a high-energy, detail-oriented person with one of the Northeast's largest suppliers of petroleum products. This position is part-time and based in our Waltham, MA headquarters.

"Gauges" of Responsibility

  • Handle customer inquiries and problem-solving to resolution.
  • Maintain and update various databases and computer files.
  • Ensure that all automated billing activity has been successfully processed
  • Provide/attach all necessary supporting documentation to sales invoices as requested.
  • Ensure that supporting documentation is consistent with invoice activity.
  • Ensure that invoices have been transmitted to customers via their preferred means (fax, email, US Postal, DTN.).
  • Ensure that invoices and documentation are available to customers who access the Global Connect Portal.
  • Support the Cash Application department in the timely application of payments received against transactions posted to the Oracle AR system.
  • Research and analyze receivable discrepancies and provide timely communication to resolve issues.
  • Provide excellent customer service to external parties.
  • Sales staff support.

QUALIFICATIONS

  • Associate's Degree is a plus
  • Certificate in Business related field preferred
  • You possess effective communicative skills, both written and verbal, and have acute attention to details and accuracy

  • You can juggle competing priorities in a fast-paced work environment and have ability multitask
  • You are analytical and able to solve problems
  • You are able to gather and disseminate competitive information
  • You have strong time-management and organizational skills
  • You are self-motivated and able to work independently
