Job Summary

The Quantitative Biosciences Institute (QBI) is looking for an experienced Financial Services Analyst who will be responsible for a broad spectrum of professional accounting services that support the department. Accounting activities include allocation of expenses by account, monitoring of and reporting on expenses for the department accounts, executing and monitoring recharge activities, purchasing and fiscal year closing activities. The incumbent is responsible for developing, modifying as needed, and controlling all accounting processes, analyzes project costs, monitoring all department funds for lapsing and overdrafts, and providing ad hoc expense reports. The position will be responsible for the interpretation and proper implementation of UC policy and procedures relative to account management and purchasing.

Reporting to the Chief Operating Office(COO) and Finance Supervisor, the incumbent implements and monitors procedures for various accounting services ensuring that procedures are in compliance with department and University policies. To perform these duties, the incumbent must be able to provide professional level analysis and decisions-making utilizing various systems, including Microsoft Excel, Word, Peoplesoft General Ledger, Accounts Payable, Purchasing, Asset Management, and MyReports. The incumbent works directly with key business units in the department such as, Finance, Operations, various faculty to provide comprehensive services. The Accounting Services Analyst manages the accounting services team. Additionally, the incumbent routinely works with individuals from Campus Departments to resolve problems or to learn about new policies and procedures. The ideal also has Journal experience on non and sponsored funds, UC Path experience and MyExpense experience.

Please note: The compensation ranges listed online for roles not covered by a bargaining unit agreement are very wide, however a job offer will typically fall in the range of 80% - 120% of the established mid-point. An offer will take into consideration the experience of the final candidate AND the current salary level of individuals working at UCSF in a similar role.

For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.

Department Description

The Quantitative Biosciences Institute (QBI) is an Organized Research Unit (ORU) at UCSF that seeks transformative results in biomedicine; QBI supports fundamental quantitative research in the biological sciences. QBI fosters collaborations across the biomedical and the physical sciences, seeking quantitative methods to address pressing problems in biology and biomedicine. Motivated by problems of human disease, QBI is committed to investigating fundamental biological mechanisms, because ultimately solutions to many diseases have been revealed by unexpected discoveries in the basic sciences.

Required Qualifications


  • Bachelor's degree in related area and / or equivalent experience / training.
  • Minimum 3 years of related experience.
  • Thorough knowledge of financial processes, policies and procedures such as fund balance accounting, general ledger,etc,
  • Thorough knowledge of financial data management and reporting systems, such as MyReports, General Ledger Verificaion, PeopleSoft, UC Path, UPlan etc.
  • Strong tracking and process skills; accurate and complete tracking and storage of back up documentation for reconciliation, data for routine expense reporting, ability to prepare accurate ad hoc expense reports; ability to provide analysis and recommendations.
  • Through understanding of cash handling policies and procedures.
  • Proficiency using large scale integrated client server / ERP financial system (e.g. PeopleSoft Systems, UC Path, Plus Planning, etc.) as well as proficiency with Excel / Outlook/Word.
  • Experience developing and implementing unit processes to improve efficiency and effect best practice changes.
  • Thorough knowledge and understanding of internal control practices and their impact on protecting University resources.
  • Maintains current knowledge of compliance regulations in all areas of research administration.
  • Demonstrated knowledge of generally accepted accounting, fiscal and reporting principles.
  • Be self-directed and follow through on assignments with minimal direction. Ability to set priorities, meets deadlines, work under pressure with frequent interruptions and provide excellent customer service.
  • Demonstrated ability to exercise good judgment and make sound decisions independently.
  • Strong interpersonal skills, analytical skills, service orientation, active listening, critical thinking, attention to detail, ability to multi-task in a high volume environment, organizational skills, effective verbal and written communication skills, sound judgment and decision making; ability to develop original ideas to solve problems.
  • Ability to function effectively as a member of a team as well as leadership skills to provide guidance, coaching and mentoring to professional and support staff
  • Ability to adapt to changing priorities.

Preferred Qualifications


  • Thorough understanding of research administration guidelines of Federal and non-Federal sponsors supporting research and educational activities, preferably in a university environment.
  • Demonstrated knowledge of effective grant funding processes, procedures and techniques.
