Currently announcing two (2) vacancies for a principal clerk-bookkeeper in Accounting.


Job Summary

Under the supervision of a management employee or their designee, performs bookkeeping and other related clerical work requiring a thorough knowledge of the Association rules, regulations, policies, and procedures, and the frequent exercise of independent judgment.


Essential Functions

1. Processes accounts payable vouchers, payroll, billing, cash receipts and credit card transactions.

2. Checks extensions on vouchers, enters proper codes, and distributes to appropriate offices for approval.

3. Posts to subsidiary ledgers, draws all checks, including payroll.

4. Prepares and reconciles accounts, bank statements, and other reports.

5. Maintains other subsidiary accounts, including deposits, transfers, issuance of checks and reconciliation.

6. Extensive use of automated systems to record financial transactions and reporting.

7. Posts cash receipts for membership accounting to the general ledger.

8. Matches checks to approved vouchers and follows appropriate mailing procedures.

9. Maintains other subsidiary accounts, including deposits, transfers, issuance of checks and reconciliation.

10. Prepares monthly, quarterly, and annual reports to state and federal agencies.

11. Maintains the necessary records and files.

12. Answers questions from leaders, members and other staff pertaining to financial matters.

13. Prepares necessary reports as needed.

14. Assists with the training of accounting staff.

15. Prepares journal entries for postage and printing jobs

16. Completes work in other departments within the Business Division as time allows

17. Opens mail for Purchasing and Accounting Departments

18. Updates and maintains the Purchase Order log

19. Enters Purchase Orders into the Purchasing system after they have been audited

20. Performs other duties as needed


Qualifications, Training and Experience

Graduation from high school; or possession of an approved high school equivalency certificate, and/or advanced degree in accounting.

Three years of accounting experience or baccalaureate in accounting.


Knowledge, Skills and Abilities

  • Thorough knowledge of automated systems, particularly, Microsoft office products, Work, Excel, E-Mail, and Access.
  • Thorough knowledge of modern office routines, procedures, methods, equipment, and machines and bookkeeping procedures, methods, and devices and their proper application.
  • Thorough knowledge of business automated accounting software.
  • Strong communications and grammatical skills using the English language.
  • Possess organizational skills.
  • Ability to understand, review and check various types of financial data and review their accuracy.
  • Ability to check and verify vouchers.
  • Ability to supervise the maintenance of petty cash records and records of cash receipts and disbursements.
  • Ability to balance general and subsidiary ledgers.
  • Ability to prepare clear, sound, accurate, and informative financial and other statements and reports.
  • Ability to maintain necessary records and files.
