SUMMARY

Under general supervision of the Event Manager and Retail Manager, performs a variety of administrative duties relating to Event and Retail functions and programs including appointments, equipment, training, and general paperwork.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.

Track all event appointments and keep updated spreadsheets. Compare with promoter log sheets weekly. Find missing appointment. Be point of contact for promoters to check on appointments. Give promoters a weekly list of sits and cancels.
Pulls and listens to calls as needed or requested.
Assist Marketing Manager as needed.
Assist Managers in coordinating show move-ins by making sure Team Leaders have all the supplies available they will need to prepare the show space.
Create and maintain equipment in/out log. Keep event area organized.
Input the Promoters and various shows into systems such as Timesheet Mobile, When I Work (scheduling program), EnabledPlus, etc.
Assist with scheduling interviews as needed for candidates. Do reverse searches when time allows.
Research projects for department as needed (i.e., look up all Farmer's Market in the area).
Assist with running DISC profiles when needed.
Track inventory (marketing/promoting info) and supplies (decorations).
Track the life of the appointments and communicate to Agents and Promoters. Generate report appointment tracker report. Weekly log sheet that includes date, set, and customer information.
Assist in other tasks as needed. Deliver appropriate documents to HR when needed.
Assist with employee bonus calculations and expense tracking if needed.
Pull reports as needed. (i.e., monthly/weekly numbers, S & M's, monthly hour break downs).
Other duties as assigned.

Education and/or Experience
One to three years related experience and/or training.

Language Skills
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

Mathematical Skills
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Other Qualifications

Experience with Microsoft Office suite programs a must (Word, Excel, Outlook, SharePoint, Teams, etc.). Must be able to learn how to use our programs (Timesheet Mobile, EnabledPlus, When I Work, etc.). Possibly as needed.

The employee must occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

Work Environment
The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. While performing the duties of this job, the employee is occasionally exposed to moving mechanical parts and fumes or airborne particles. The noise level in the work environment is usually moderate.
