Role location: Jacksonville, FL Hybrid (Monday-Thursday in-office, Friday virtual)

About the role
The Executive Assistant (EA) provides high-level administrative support to executives and their teams, ensuring timely responses, efficient coordination, and seamless execution of daily operations. This role demands agility, discretion, and a proactive mindset to orchestrate schedules, global communications, and cross-functional collaboration with speed and accuracy.

You'll be part of the Executive Assistant Center of Excellence (EA CoE) - a global community redefining what it means to be an EA at FIS. The CoE drives operational excellence, collaboration, and capability building across the EA network. Together, we enable consistent standards, build connection across regions, and elevate the impact of executives we support.

Our EAs are trusted strategic partners, not task managers - they anticipate, translate, and deliver with precision. If you're energized by complexity, grounded in detail, and excited to play a pivotal role in how FIS operates, this is where you belong.

Your key responsibilities

  • Communicate on behalf of the executive internally and externally; interpret and convey executive intent when needed.
  • Establish and maintain high-level contacts of a sensitive nature inside and outside the organization.
  • Exercise independent judgment within defined practices and policies to determine methods and solutions.
  • Serve as a subject matter expert (SME) on corporate policy, interpreting and applying guidelines for the executive and team.
  • Prepare, edit, and distribute documents and files with accuracy and attention to detail.
  • Review and refine communications to ensure clarity, professionalism, and proper grammar.
  • Manage executive calendars, coordinating and scheduling meetings across multiple time zones.
  • Coordinate complex domestic and international travel arrangements, including itineraries and logistics.
  • Demonstrate 3-5 years of experience supporting senior-level executives and engaging with customers, vendors, and dignitaries.
  • Act as delegate for routine approvals in internal systems (e.g., purchase orders, requisitions).
  • Monitor and maintain office supply inventory and reorder as needed.
  • Integrate AI-enabled productivity tools and automation into daily workflows to optimize efficiency, decision support, and executive operations.
  • This role is expected to be performed in-office to ensure high-touch support and collaboration.
  • Perform other related duties as assigned.

What you bring

  • Proven effectiveness in collaborating across teams and among executives building strong networks across the organization.
  • Experience with calendar management of senior/executive leaders is required.
  • Strong organizational, communication, and interpersonal skills.
  • Familiarity with AI-enhanced productivity tools and a willingness to adopt emerging technologies to improve processes and outcomes.
  • Ability and willingness to work on-site to provide seamless executive support and foster collaboration.
  • Position requires the ability to maintain the highest levels of discretion and confidentiality.
