As a Workforce VMS Specialist, you'll use advanced Excel skills and analytical thinking to ensure payroll and billing accuracy while supporting clients, branches, and workforce operations across multiple systems.

The Workforce VMS Specialist supports payroll and billing accuracy by performing reconciliations, processing adjustments, auditing data, and resolving discrepancies across workforce management systems. This role is ideal for a detail-oriented professional with strong Excel skills who enjoys investigating issues, working with data, and collaborating with branch and client teams to ensure operational accuracy.

Key Responsibilities



  • Review and reconcile payroll and billing data across multiple systems to ensure accuracy and compliance.
  • Pull reports from CRM and Vendor Management Systems (VMS) and utilize reporting tools to validate payroll, billing, and operational data.
  • Analyze employee hours, week-ending reports, pay rates, bill rates, and other workforce data to identify discrepancies and resolve exceptions.
  • Process and investigate Pay Bill Adjustments (PBAs) and coordinate corrections with internal teams, branches, and clients.
  • Conduct audits and reconciliations to maintain accurate payroll and billing records.
  • Research payroll and billing issues, determine root causes, and facilitate timely resolution.
  • Maintain accurate documentation related to audits, reconciliations, and data adjustments.
  • Communicate professionally via email and phone with branch personnel, clients, and internal stakeholders regarding discrepancies and corrective actions.
  • Partner with branch teams to gather supporting documentation and ensure payroll and billing corrections are completed accurately.
  • Support continuous improvement initiatives related to reporting, data accuracy, reconciliation processes, and system utilization.


Qualifications



  • Associate degree, Bachelor's degree, or equivalent professional experience preferred.
  • Minimum of 2 years of experience in payroll, billing, workforce operations, staffing operations, accounting support, reconciliations, auditing, or a related analytical role.
  • Experience working within a Vendor Management System (VMS), Managed Service Provider (MSP), staffing environment, payroll operation, or similar workforce management setting preferred.
  • Strong analytical and problem-solving skills with exceptional attention to detail.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Technical Skills
  • Advanced Microsoft Excel skills are required, including VLOOKUP, XLOOKUP, Pivot Tables, Macros, formula creation, troubleshooting, data analysis, and reporting.
  • Experience extracting, manipulating, and validating data from reporting tools, payroll systems, CRM platforms, or VMS platforms is preferred.

They are highly organized, comfortable working with repetitive processes, possess strong Excel capabilities, and communicate effectively with branches, clients, and internal teams to ensure accurate payroll and billing outcomes.

The anticipated hourly salary for this position in the US is starting at $21.50. The actual hourly salary offered depends on a variety of factors, which may include as applicable, the qualifications of the individual applicant for the position, years of relevant experience, specific and unique skills, level of education attained, certifications or other professional licenses held, and the location in which the applicant lives and/or from which they will be performing the job.
