Essential Job Duties
Primary Duties and Responsibilities:
Award Management & Grant Reporting:


  • Manage sponsored projects by monitoring financial activity, expenditures, budgets, and projections; provide timely financial information and guidance to project teams to support informed decision-making and mitigate financial risk.
  • Apply accounting principles, sponsor requirements, and university policies to budgeting, forecasting, personnel expenses, cost allocations, expenditures, and other sponsored project fiscal activities.
  • Conduct regular financial reviews with project teams to assess spending, forecast future needs, identify potential issues, and recommend corrective actions to keep projects financially and operationally on track.
  • Coordinate award modifications and required approvals by preparing project modification requests, including rebudgeting, no-cost extensions, changes in principal investigator, equipment purchases, travel, pre-award costs, and other university or sponsor actions.
  • Manage subawards, contracts and project segments throughout their lifecycle, including setup, monitoring, financial and compliance oversight, reporting, and closeout, in coordination with project teams, university offices, and sponsoring agencies.
  • Coordinate sponsored project closeout by resolving outstanding financial and administrative matters, completing reconciliations, obtaining required approvals, maintaining award records, and ensuring timely submission of final reports and documentation.
  • Support the preparation and submission of sponsor-required financial and progress reports, ensuring accuracy, completeness, appropriate supporting documentation, and compliance with established deadlines.
  • Monitor and manage cost-share commitments, ensuring expenditures are properly tracked, supported, reconciled, and reported in accordance with sponsor and university requirements.


Proposal Development:


  • Identify and pursue funding opportunities support the growth of the Industry Extension Services departmental sponsored project portfolio.
  • Prepare, compile, and submit grant and contract proposals for the project teams through NC State University systems, including RED, and sponsor electronic submission portals such as Grants.gov, Research.gov, and ERA commons.
  • Collaborate with project team to develop proposal budgets, budget justifications, and other required documents in accordance with university and sponsor requirements.
  • Create and maintain accurate RED proposal records with campus offices to facilitate timely and accurate proposal submissions.
  • Provide guidance to the project team regarding NC State business processes and requirements for proposal development and submission.
  • Review proposal materials for completeness, accuracy, and compliance with applicable university and sponsor guidelines.
  • Serve as a resource to the project team throughout the proposal process, identifying potential issues and coordinating resolutions with appropriate university offices.

Financial Management:

  • Support the financial management of state appropriated, state receipt and fee for services budgets by monitoring expenditures, processing budget adjustments, reconciling financial transactions, and ensuring compliance with university policies and accounting guidelines.
  • Initiate and process a variety of financial transactions, including purchase requisitions, purchase orders, voucher payments, reimbursements, interdepartmental transactions, Marketplace orders, and related fiscal activities.
  • Assist with monitoring fund balances and financial trends to identify potential deficits, surpluses and areas requiring attention and Support fiscal year end closeout activities
  • Assist with Salesforce approvals and Purchase Request coding to support accurate and compliant purchasing activities
  • Assist with Salary Redistributions

Other Responsibilities
  • Assist with other day to day operations as needed
Qualifications






Minimum Education and Experience
  • Graduation from a four-year college or university with a degree in Business Administration, Public Administration or related business area and three years of administration management or business management experience; or, an equivalent combination of training and relevant.
Other Required Qualifications

  • Previous experience in contracts and grants administration.
  • Working knowledge of PeopleAdmin, PeopleSoft Financials, PeopleSoft HR or similar platforms used to support financial, human resources and business operations.
  • Proficiency in Microsoft Excel, Microsoft Office, Google Workspace, and web-based financial management systems.
  • Knowledge of accounting principles and practices, including budget planning and financial management.
  • Experience researching and interpreting policies, procedures, regulations, and other requirements to assess and resolve complex issues using professional judgment.
  • Organizational, communication, and problem-solving skills, with attention to detail and the ability to manage multiple priorities and deadlines.
