About the Department:


The Office of Graduate Studies provides proactive CEC wide leadership, supervision, guidance, and accountability for CEC graduate studies. The Office works as a bridge for graduate studies between College of Engineering and Computing department-level responsibilities and university-level responsibilities with regards to graduate student recruitment and admissions, graduate student advising, oversight and conflict resolution, and academic policy and program development and management.


About the Position:


Reporting directly to the Senior Director of the College of Engineering and Computing Office of Graduate Studies, in strategic partnership with the Associate Dean for Undergraduate Academic Affairs, Academic Departments and interdisciplinary programs the BAM (Bachelor's/Accelerated Master's) Academic Coordinator provides a concierge-level service (personalized, high-touch, and proactive) approach to prospective, current and graduating BAM students. The incumbent focuses on managing tasks, anticipating needs, and providing convenience.


Responsibilities:


BAM Student Advisement



  • Serves as the primary advisor for all BAM students;
  • Maintains a detailed tracking system of BAM students, documenting outreach efforts, application progress, academic pathways, key milestones, action items, and next steps. Regularly reviews student progress to provide timely guidance and support that facilitates successful transition into the master's program;
  • Records and reviews detailed advisement notes in Patriot Connect, as well as utilizes the system for case management;
  • Maintains a consistent schedule of walk-in hours and advisement appointments (in-person and online);
  • Researches and communicates the educational and financial benefits of master's degree attainment, including earning potential, career advancement opportunities, and employment outcomes, to relevant student populations in order to promote program retention and encourage continued enrollment;
  • Provides regular reports to CEC senior management on BAM student population and retention, using MicroStrategy & Patriot Connect;
  • Plans and executes BAM Transition Day, and, in collaboration with supervisor, identifies or creates other events to recruit and retain BAM students;
  • Proactively alerts students to upcoming deadlines and keeps them on track;
  • Coordinates and follow-ups with department advisors on behalf of BAM students;
  • Receives, reviews, and submits transition forms by required deadlines. Tracks forms in existing spreadsheet, improving forms, tracking and processes as needed. Liaises with Office of Graduate Admissions. Submits and justifies Graduate Division appeals when deadlines are missed; and
  • Ensures undergraduate BAM students who are admitted into Graduate programs are fully oriented and have the information and resources available to complete their master's programs on time. Troubleshoots first semester graduate admission/registration issues. Helps resolve complex cases. Continues to monitor students through MS graduation to report outcomes to CEC leadership via the tracking spreadsheet. Using reports sent by the Registrar, and in coordination with the appropriate Graduate Program Director, initiate pathway removal for students who fail to meet academic requirements for transition.


BAM Student Recruitment



  • Increases undergraduate participation in BAM by identifying and engaging appropriate students earlier in their academic career;
  • Collaborates in the planning and execution of recruitment events and activities (inclusive of classroom visits and presentations) in coordination with the Undergraduate Recruitment Coordinator and Graduate Recruitment Coordinator;
  • Performs CECGS outreach efforts (emails, text messages, invitations to apply). Sends personalized graduate admission invitations to specific BAM pathways based on UG major, courses taken, GPA, etc.;
  • Maintains a consistent schedule of walk-in hours and advisement appointments (in-person and online) in order to be available to personally advise students as needed;
  • Manages and oversees value-added updates to the BAM website, including student testimonials;
  • Collects and manages a digital archive of success stories for recruitment use;
  • Researches and communicates Return on Investment of master's earnings and job prospects vs. bachelor's earnings and job prospects to targeted populations to encourage application to the program by highlighting the higher pay and better long-term career outcomes typical for those with master's degrees; and
  • In partnership with the Senior Director/Associate Deans/Divisional Deans, works with Undergraduate and Graduate programs on existing and new BAM Pathways to articulate courses for clarity. Assists in bringing pathways into university conformity. Updates curriculum in CourseLeaf as needed. Performs yearly reviews. Provides feedback and data.


Admissions



  • In accordance with BAM Pathway catalog requirements, makes final admission decisions for all pathway applicants (binding reviewer);
  • Provides prospective and applied students with application assistance. Liaises with Graduate Admissions on behalf of the student to trouble shoot problems; and
  • Collaborates with various offices across the university to rectify complex problems on behalf of BAM students. Communicates with students about application problems, resolutions, and requirements.

Required Qualifications:



  • Bachelor's degree, or the equivalent combination of education and experience;
  • Typically, three years of advisement experience in higher education academic affairs;
  • Experience in higher education recruitment;
  • Experience with higher education software (e.g., Banner products or similar);
  • Demonstrated track record of providing empathetic mentorship, student-centered advisement, and consistent encouragement of student personal and academic growth;
  • Demonstrated ability in building rapport with students, balancing care and support with clear expectations, structured guidance, and accountability; and
  • Demonstrated ability of being a reliable source of information while engaging and recruiting students through thoughtful and innovative outreach efforts.


Preferred Qualifications:



  • Master's degree, or the equivalent combination of education and experience;
  • Demonstrated experience in both higher education undergraduate and graduate academic affairs;
  • Involvement with accelerated Master's program(s);
  • Experience with higher education catalog curriculum processing; and
  • Experience with higher education software including: Patriot Web, Salesforce, Stellic, MicroStrategy, Target X, and CourseLeaf.
