Position Summary

Capital Electric is seeking a highly organized, customer-focused, and detail-oriented Specialty Services Administrator to support the continued growth and scalability of our Specialty Services offerings, including:



  • Vendor Managed Inventory (VMI)
  • Pro Logistics Services (PLS)
  • Tools, Fasteners & Safety (TFS)
  • Pros Need Pros (PNP)


This position will serve as the administrative backbone of our Specialty Services platform by supporting reporting, customer account management, software administration, inventory management, process improvement initiatives, marketing efforts, and field operations. The ideal candidate will help create scalable processes that enhance customer experience, improve operational efficiency, and support the expansion of Specialty Services throughout Capital Electric.

Essential Duties & Responsibilities

VMI Reporting & Customer Analytics



  • Generate, maintain, and distribute daily, weekly, and monthly VMI reports.
  • Analyze inventory consumption trends and customer usage data.
  • Support customers and sales teams with actionable reporting insights.
  • Assist in identifying inventory optimization opportunities, stockout risks, and cost-saving initiatives.
  • Maintain reporting accuracy and consistency across all VMI accounts.


Customer Account Maintenance & Data Management



  • Maintain customer part numbers, product lists, and approved inventory assortments.
  • Manage and update inventory min/max levels.
  • Support onboarding and implementation of new VMI customer accounts.
  • Ensure data integrity between customer inventories, Eclipse, and supporting software platforms.
  • Coordinate inventory updates for existing VMI customers.
  • Assist with customer account audits and inventory reviews.


Software Platform Administration

Provide administrative support for inventory management platforms including:



  • Store Room Pro
  • Innovo Stock Room
  • Other future software partners and inventory solutions


Responsibilities include:



  • User account management
  • Product and inventory maintenance
  • Reporting configuration
  • Data synchronization
  • Customer setup and implementation support
  • Platform troubleshooting and coordination with software vendors


Inventory Replenishment & Procurement Support



  • Assist field personnel with order entry and purchasing activities.
  • Coordinate replenishment requests and inventory transfers.
  • Monitor inventory availability and support stockout prevention initiatives.
  • Work closely with Supply Chain and Purchasing teams to improve product availability.
  • Support inventory management activities related to vending machines, lockers, and asset management programs.


Operational & Administrative Support



  • Schedule customer site visits, inventory reviews, and program implementations.
  • Coordinate training sessions, customer presentations, and Specialty Services events.
  • Support communication efforts between customers, sales teams, branch personnel, and Specialty Services associates.
  • Maintain organized documentation, records, and program files.
  • Assist with internal project tracking and follow-up activities.


Standard Operating Procedures (SOPs) & Process Improvement



  • Assist in developing and maintaining internal and external Specialty Services SOPs.
  • Support customer onboarding documentation and implementation standards.
  • Help create scalable processes and best practices across VMI and Specialty Services programs.
  • Participate in continuous improvement initiatives designed to increase efficiency and service consistency.


Marketing & Program Development



  • Support marketing and branding efforts for VMI, PLS, TFS, and PNP programs.
  • Assist with creation and maintenance of customer-facing materials, presentations, and program documentation.
  • Help coordinate promotional campaigns, customer events, and Specialty Services initiatives.
  • Maintain content libraries and program resources.



Required Qualifications



  • Associate degree or equivalent professional experience preferred.
  • Minimum 2 years of administrative, customer service, inventory management, operations, or related experience.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication abilities.
  • High level of accuracy and attention to detail.
  • Ability to manage multiple projects and priorities simultaneously.
  • Strong Microsoft Office skills, particularly Excel, Outlook, Word, and PowerPoint.
  • Experience working with ERP systems, inventory management software, or database platforms preferred.
  • Ability to work independently while supporting multiple stakeholders.



Preferred Qualifications



  • Experience with inventory management, supply chain, warehousing, logistics, or distribution.
  • Familiarity with Eclipse or similar ERP systems.
  • Experience supporting customer implementation projects.
  • Knowledge of vending machine, locker, asset management, or Vendor Managed Inventory programs.
  • Experience creating reports, dashboards, and process documentation.

Position Impact

The Specialty Services Administrator is a strategic support role designed to strengthen the infrastructure necessary for the continued growth of Capital Electric's Specialty Services platform. This position will improve customer service, reporting capabilities, software administration, inventory management, and operational consistency while providing the scalability required to expand VMI, PLS, TFS, and PNP programs across our footprint.

By supporting both our customers and Specialty Services team, this role will help Capital Electric continue growing market share and delivering best-in-class service solutions throughout the organization.


Salary Range: $55,000-$75,000
