About the Opportunity

In this essential role, you will be instrumental in guiding new patients through their initial steps, expertly scheduling critical procedures, and providing comprehensive front office support. Your contributions will directly enhance the patient experience and the efficiency of healthcare providers, ensuring seamless interactions and operational excellence.

Key Responsibilities and Impact



  • Serve as the primary point of contact for patients, managing check-in and check-out processes with exceptional efficiency and a warm, welcoming demeanor.
  • Greet and assist patients with initial inquiries regarding appointments, payments, and schedules, ensuring a positive experience from their arrival to departure.
  • Manage multi-line phone systems with precision, screening and routing calls appropriately, and accurately taking messages for clinical staff and physicians.
  • Ensure all necessary patient verifications and authorizations are meticulously completed prior to appointments.
  • Liaise effectively with healthcare providers to align on scheduling preferences and respond promptly and effectively to urgent patient needs.
  • Provide essential patient support by expertly utilizing reference documents and tools to address inquiries and guide patients through their healthcare journey.
  • Perform diverse administrative duties, including maintaining information and paging databases, and processing various internal forms with accuracy.
  • Proficiently utilize telephone systems and electronic medical records systems to execute assigned tasks efficiently.
  • Consistently meet and exceed organizational and departmental service standards, contributing to a culture of excellence.
  • Respond to non-clinical patient messages and inquiries thoughtfully, escalating as appropriate to ensure timely and effective resolution.
  • Manage and distribute faxes, mail, and organize clinic-specific documentation to maintain an organized and efficient office.


Required Qualifications



  • High School Diploma or GED.
  • Demonstrated knowledge of medical terminology.
  • Proficiency with computer systems and software essential for administrative functions.
  • Excellent verbal and written communication skills, tailored for a professional healthcare environment.
  • Strong customer service orientation, coupled with proven problem-solving abilities and the capacity to effectively manage multiple priorities.
  • Familiarity with Windows-based office software, computers, and operating systems.
  • Ability to adapt communication style to effectively meet the needs and understanding level of a diverse patient population.
  • Capacity to maintain composure and effectiveness even in stressful situations, ensuring continuous high-quality service.
