The full salary range for this position is $82,946.87 to $133,474.67/year.

Brief Summary of Job Duties:

The Registrar and Collections Manager is one of four senior managers [AB1.1]at the Art, Design & Architecture Museum (AD&A Museum). They are independently responsible for the proper care and management of the AD&A Museum fine art and architecture collections and all artworks on loan from other collections. This includes management of all administrative arrangements associated with the collections; management of all records pertaining to the collections; management of the physical maintenance and security of the collections; and supervision of storage areas and all aspects of art handling and movement. Works independently, with general direction from the Director, determining priorities based on expertise, the needs of the collections and programs of the Museum.

Required Qualifications:

  • Required Bachelor's Degree in Art History, Museum Studies, Library Science, or related field(s).
  • 4-6 years Collections Management. Excellent record keeping, computer and clerical skills required. TMS database knowledge and experience.

Job Functions and Percentages of Time:

  • 50% Collections Management - Devises, implements, and maintains policy and procedures pertaining to acquisition, management, loan and disposition of Museum's collections according to established professional standards of the American Alliance of Museums. Responsible for the digital collections management system and manual files relevant to the AD&A Museum's permanent collections, loans, and temporary exhibitions, and on-line catalogue. Oversees ongoing cataloguing, documentation, and inventory control of all objects owned by or on loan to the Museum; supervises data entry. Implements and manages online collection access. Prepares and maintains budgets related to registration, collection management, exhibitions (shipping/crating/insurance), and conservation. Oversees all storage areas, working closely with the Designer and Preparator; organizes space and assigns object locations; monitors areas for security, proper environmental conditions, and pest control. Monitors collections for conservation requirements; confers with conservators regarding problems and treatment; arranges for and oversees conservation treatment projects; close collaboration with all Curators and the Director is required. Registrar performs minor conservation maintenance procedures. Serves as national/international courier of art objects. Responsible for all shipping and packing arrangements, both domestic and international, for works of art and exhibitions. Supervises and participates, when necessary, in the packing and unpacking of exhibitions and permanent collection works. Supervises all art handling and movement. Coordinates condition inspection of all art objects and prepares condition reports. Assists the Curators and other staff with research and access to information on the collections. Primary person who responds to public and scholarly inquiries about the permanent collection. Reviews annual inventory of fine art assets by UCSB Equipment Management Department; responsible for advising Equipment Management Department of all modifications to the collections. Reviews and advises on registrar matters pertaining to collections and proposed exhibitions. Responsible for processing gifts (artwork) into the collections according to policy and procedures of the UCSB Office of Development; maintains knowledge of current IRS regulations and tax laws; works independently with donors to assist with the acquisition process. Assists in the development and preparation of grants for collection management, conservation projects, and exhibitions.

  • 25% Curatorial and Exhibition Support - Collaborates with Curators, Designer and Director in the planning and presentation of the Museum exhibition program; produces collection reports for permanent collection exhibitions; works closely with students in the planning and production of permanent collection exhibitions. Facilitates and negotiates all exhibition contracts; works with UCSB Business Services and Risk Management. Edits and produces label copy and text; establishes timeline standards for exhibitions and template and standards for label copy. Supervises the photography of all works of art and processes requests for photo reproductions. Develops collection reports for exhibitions, maintains the exhibition chronology digitally, and facilitates exhibition photography. Manages administrative details of touring exhibition program for Museum-generated exhibitions, working in close collaborations with the Curators and the Director; coordinates all aspects both in-house and with borrowing institutions. Researches permanent collection for exhibitions, acquisitions and deaccessioning. Produces primary documents: a label style guide, and is the editor of all the labels produced. Collaborates with Curators, Designer, and Director in the planning and presentation of the Museum's exhibition program; produce collections reports for permanent collection exhibitions; and facilitates student and class access to the collection.

  • 25% Gallery Management - Responds to requests for information regarding the Museum's collections and policies; provides access for the study of objects to students, faculty, and scholars. Organizes the Museum Print room; maintains works on paper storage, access and research. Responsible for daily inspection and proper functioning of a complex system of alarms, which protect the Museum from intrusion. Some areas are under alarms service around the clock; other areas must be activated and de-activated daily. Manages security cameras. Coordinates relationships with campus police, security company and OIT. Responsible for initiating and supervising all aspects of deaccessioning program, including teaching objects, working with auction houses, etc. Supervises museum visitor services manager; in charge of opening and closing museum galleries. Oversees the museum events calendar; makes sure museum is staffed, open and closed during the week and on weekends; facilitates events in conjunction with risk management issues related to collection care. Serves as Museum's Hazard Communication Coordinator with Fire Marshall; oversees department disaster plan and staff training.
