The Center simplifies the employment lifecycle by providing hands-on support for critical first-day tasks (such as federal compliance, payroll setup, and system access), coordinating university orientations, hosting campus engagement activities, and assisting separating employees to ensure their transitions are handled smoothly and professionally. | Essential Job Duties |
As the first point of contact for the NC State Onboarding Center (
OBC), the Office Coordinator helps create a welcoming and positive experience for employees throughout their transition to and from the university. This role combines exceptional customer service with day-to-day administrative and operational support, welcoming visitors, assisting new hires through the onboarding process, and supporting departing employees with offboarding.
The Office Coordinator also works closely with the Onboarding Center Manager to keep daily operations running smoothly, providing support with calendar management, special projects, and unit budget activities. If you enjoy helping people, creating positive experiences, and keeping things organized behind the scenes, this role offers an opportunity to make a meaningful impact on the employee experience at NC State.
Key Responsibilities include and are not limited to the following:
- Provide exceptional customer service and front office support by serving as a welcoming first point of contact for the Onboarding Center, responding to phone calls and general inquiries, managing the shared email inbox, researching resources, and scheduling appointments for new and separating employees.
- Support onboarding and employee transition services by assisting new hires with onboarding activities such as I-9 verification and One Card processing and coordinating registration and logistics for New Employee Orientation (NEO) in collaboration with campus partners.
- Support budget and financial operations by monitoring unit expenses, processing transactions accurately and timely, preparing budget reports, and contributing to short- and long-term financial planning.
- Contribute to an effective and welcoming workplace by identifying opportunities to improve office processes and services, communicating proactively, listening to and supporting colleagues, maintaining confidentiality, and exercising sound judgment when handling sensitive information.
- Promote a collaborative and flexible team environment by maintaining professional relationships, respecting colleagues and their ideas, meeting deadlines, sharing responsibilities, and providing cross-coverage to support the Center's daily operations.

Qualifications
| Minimum Experience/Education |
Bachelor's degree; or an equivalent combination of training and experience.
All degrees must be received from appropriately accredited institutions.

| Preferred Qualifications |
- Customer service experience with effective verbal and written communication skills and the ability to provide professional, responsive support to visitors, new hires, employees, and campus partners.
- Experience using Google Workspace applications, including Docs, Sheets, Slides, Gmail, and Shared Calendars. Familiarity with enterprise systems such as PeopleSoft HR is preferred.
- Familiarity with employee onboarding processes, including I-9 requirements, basic tax forms, benefits information, and Job Action Requests (JAR).
- Experience providing administrative or operational support, preferably in a higher education or academic environment.
