Position Summary

The University of New
Mexico Student Health and Counseling (SHAC) is seeking applicants for an
Administrative Assistant 3 position to work in the Front Desk/Reception
department
. The Administrative Assistant 3 position consists of the ability to
perform and/or oversee a variety of associated administrative tasks, and
electronic health record workflows that support the clinic.

Duties and Responsibilities:

  • Oversees and/or performs a range of diverse administrative activities for the department, serve as central point person within the department in the resolution of a variety of day-to-day schedules.
  • Assists in administrative problem solving, program/project planning, development and execution of stated goals and objectives.
  • Research information, compiles statistics and gather / computes various data, prepares special and/or one-time reports, summaries or replies to inquiries, selecting relevant data from a variety of sources.
  • Completes personal deposit at end of day and takes turn completing SHAC deposit first thing every business day, reconciles any issues and assist with problem resolution.
  • Provides and/or oversees support activities for SHAC Front Desk such as answering telephones, assisting and resolving problems and inquiries of visitor, parents, reviews incoming calls to determine escalation to supervisor and/or director(s).
    Schedules appointments and maintains schedules, reschedules patients from schedules when provider is unable to come in.
  • Daily verification of insurance eligibility using Health X-net.
  • Assist with co-worker training and collaborates on problem resolution.
  • Establishes, updates, maintains SHAC Front Desk files and records as required for the position.

Student Health and
Counseling (SHAC) is a comprehensive health service available to all
currently enrolled UNM students. SHAC is located North of Johnson Center and
across from the Student Union Building. It is open Monday through Friday and is
closed on all UNM holidays. Services include medical appointments (scheduled
and same day), pharmacy, women's and men's health, allergy and immunization,
medical specialty clinics, physical therapy, lab and x-ray, travel health
clinic and counseling services, as well as health education, prevention, and
promotion.

Conditions of Employment
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.

Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.



Preferred Qualifications

The ideal candidate will demonstrate the following experience and skills:

  • Advanced and specialized skills and comfort level with basic medical terminology.
  • MS Office programs, cash balancing, record-keeping and/or specified information gathering projects.
  • Health X-net Insurance verification, scheduling and answering phones, and to work independently with projects, and in a team environment.
  • Train and assist new employees as needed, coordinate specified administrative activities and reporting across departments within SHAC.
  • Professional interpersonal communication skills in working with a diverse population.
  • Excellent customer service skills and professional demeanor.
  • Knowledge of HIPAA requirements.
  • Ability to ask for clarification or additional information when needed.
