Luther Manor is seeking a Resident Specialist to join our Terrace Main Office team. This is a limited part-time position, working 16 hours per week.

The Resident Specialist is responsible for performing the clerical, communication, and resident billing functions for the Terrace. The Terrace has two offices - one for the Park Terrace and one for the Garden Terrace. Responsibilities of this role for each area are essentially the same, with minor differences based on work and issues particular to that area.

ESSENTIAL JOB FUNCTIONS:



  • Serves as receptionist and administrative support for either the Garden or Park Terrace office.
  • Performs general duties pertaining to maintaining of the Terrace office functions - including, but not limited to: Updating and coordinating Terrace resident census notices ordering office supplies, distributing inter-office mail, receiving telephone calls, reserving meeting rooms, receiving monthly service fee payments, and directing/assisting residents and visitors.
  • Serve as liaison between residents families and Terrace support services, including health, social services, wellness, dining services, housekeeping, maintenance, safety/security and administration.
  • First point of contact for residents - receives complaints, concerns, and requests for service or attention. Provides good customer service, responsiveness, and communication with residents/families for effective resolution.
  • Communicates and coordinates efforts to rectify issues with appropriate department and/or management to ensure resident satisfaction.
  • Coordinates work orders for housekeeping/maintenance requests, and preventative maintenance projects for apartments.
  • Assists Terrace move in coordinator with assigned tasks for new residents.
  • Provides New Resident Handbook
  • Maintains ongoing financial record keeping and prepares monthly resident billing, including producing and distributing billing statements. Assists residents in resolving billing issues.
  • Record, type, and distribute minutes for resident council meetings.
  • Provides clerical support services to RCAC office and Director as needed.
  • Performs other administrative or coordination tasks for respective sides of the Terrace Operations. Includes, but not limited to:
  • Supervise, schedule and recruit resident volunteers for work in areas such as the Terrace Manor Mart.
  • Tracks and coordinates reservations for Guest apartments in the Terrace.
  • Other duties as assigned

  • Must be 18 years of age and requires a HS diploma or equivalent. Advanced training, certification or degree in administrative or related work desired, but not required.
  • 3 years experience in related clerical, administrative, customer service type roles.
  • Solid computer skills, including proficiency in Microsoft Word, Excel, etc.. Good command of email correspondence/calendars. Typing skills of 45 wpm with a high degree of accuracy, and proficiency in Microsoft Word.
  • Excellent command of spoken and written English.
  • Excellent human relation skills to work effectively with high degree of patience, sensitivity, and tact.
  • Ability to produce accurate and detail oriented correspondence and monthly statements and through the use of solid written/grammatical and math skills.

SUPERVISION:


  • Reports to the Director of Independent Living.
  • No direct supervisory responsibility.
