Hourly Pay Range:

$23.24 - $34.86 - The hourly pay rate offered is determined by a candidate's expertise and years of experience, among other factors.

  • Hours: Monday-Friday, 9:00am - 5:00pm
  • Required Travel: Occasional local travel may be needed for department support.

Job Summary:

The Administrative Assistant III will provide advanced administrative support to the Marketing & Communications executive team. This role requires a high level of professionalism, discretion, and the ability to handle complex tasks in a dynamic healthcare environment.

What you will do:

  • Serve as the primary point of contact for the Marketing & Communications VPs, managing calendars, correspondence, executive communications, and scheduling priorities.
  • Process invoices, monitor spending, maintain budget trackers, department vendor contract records and support budget administration for the Marketing & Communications leadership team.
  • Manage department communications, team meetings, leadership meetings, off-sites, and event logistics.
  • Coordinate and manage appointments, meetings, and conference calls, ensuring the efficient use of their time.
  • Draft, edit, and proofread executive-level emails, memos, reports, and other documents.
  • Ensure all communication is professional and reflects the executive team's voice and objectives.
  • Generate and compile reports, data analyses, dashboards and presentations for executive decision-making.
  • Collaborate with executives on special projects and strategic initiatives, conducting research, data analysis, and presenting findings.
  • Oversee office operations and supplies, ensuring smooth day-to-day functioning.
  • Assist in the onboarding of new team members and contribute to their training.
  • Handle sensitive and confidential information with the utmost discretion and professionalism.

What you will need:

  • Education: Bachelor's Degree Preferred
  • Certification: n/a
  • Experience: 3 years administrative experience, preferably in a healthcare, marketing or hospital setting is required.
  • Unique or Preferred Skills:
  • Comfort with emerging technologies, including use of AI (specifically Google Gemini).
  • Experience with video conferencing tools such as Webex or Teams.
  • Familiarity with using Microsoft 365 Suite.
  • experience with enterprise tools such as Workday, SAP and ServiceNow.
