Summary of Position:

Are you a highly organized healthcare professional with experience in medical billing, reporting, and administrative operations? MedStar Medical Group is seeking an Office Administrative Coordinator to support our Cardiac Electrophysiology (EP) team in Northern Virginia.

This role serves as a critical operational resource for physicians, advanced practice providers, and leadership by coordinating administrative functions, supporting departmental billing processes, managing reports and data, and ensuring efficient day-to-day operations across multiple locations. The ideal candidate is detail-oriented, technologically savvy, and thrives in a collaborative healthcare environment.

This position primarily supports our Fairfax office and will occasionally travel to MedStar Washington Hospital Center as needed to support departmental operations and collaborate with providers and staff. Hybrid and remote work opportunities may be available based on departmental needs and business requirements.

Primary Duties and Responsibilities:

  • Coordinate day-to-day administrative operations for the Cardiac EP department, including scheduling meetings, managing correspondence, maintaining records, supporting departmental projects, and assisting with provider and staff-related activities.
  • Support department-based billing functions by reviewing documentation for completeness, verifying coding and charge information, following up on missing information, and helping ensure timely and accurate billing processes.
  • Generate, analyze, and distribute reports, statistical data, and operational metrics while utilizing Microsoft Excel and other systems to support departmental decision-making and performance monitoring.
  • Serve as a liaison between physicians, advanced practice providers, leadership, internal departments, and external vendors to ensure effective communication, coordination, and problem resolution.
  • Assist with patient-related administrative functions, medical records management, test result coordination, supply management, budgeting activities, and other operational initiatives that support exceptional patient care.

Minimal Qualifications:

  • High School Diploma or GED required.
  • Associate degree in Business, Accounting, Secretarial Studies, or a related field is preferred.
  • Progressively responsible administrative experience required.
  • Previous medical billing experience strongly preferred.
  • Working knowledge of ICD-10 and CPT coding preferred.
  • Strong Microsoft Excel skills, including experience generating reports, analyzing data, and maintaining spreadsheets.
