Our major medical facility client is looking for a skilled Project Coordinator to join a busy operations team. Under the direction of the Manager, the Project Coordinator will assist in managing operational initiatives and projects. This role provides leadership in the areas of financial management, human resources, communications, purchasing, inventory management, and other vital departmental functions. The coordinator manages projects and activities, serves as a primary liaison to customers and other business units, and builds strong, positive relationships with support departments as well as with external vendors.


What You Will Do

  • Project Coordination: Manage reporting and ensure company resources are utilized appropriately. Manage project schedules, coordinate departmental project activities, and ensure all project phases are documented accurately.
  • Leadership & Facilitation: Manage individual projects as they arise and provide direction regarding additional areas of functional opportunity. Present results and manage/facilitate individual workshops and committee meetings.
  • Administrative Support: Provide leadership and operational expertise regarding administrative processes and the streamlined flow of organizational paperwork.
  • Human Resources & Recruitment: Provide policy and procedure expertise as requested by the Management Team. Guarantee timely submission of evaluations and paperwork associated with the smooth functioning of personnel within the department. Coordinate the hiring of new employees, deliver initial department orientations, and monitor departmental compliance training courses.
  • Supplies & Inventory Management: Oversee equipment and supplies allocation. Facilitate periodic inventory reviews of all equipment and prepare appropriate facility reports as requested. Track and present cost-management efforts at departmental staff meetings.
  • Events Coordination: Take hands-on ownership of planning, scheduling, and managing departmental events.
  • Department Support: Coordinate requests for support from internal utility departments (e.g., communications, facilities, engineering, and maintenance). Serve as the designated internal representative coordinating the installation and maintenance of data and phone communications. Work with departmental stakeholders to ensure that quality work is completed on a timely basis and ensure that new hires have the necessary resources at the right place and the right time.
  • Other Duties: Participate in projects as assigned, completing deliverables within requested timeframes, and perform other related duties as assigned.


Required Knowledge, Skills, and Abilities

  • Industry Context: Extensive knowledge and understanding of hospital and clinic organizations is highly preferred.
  • Task Management: Excellent organizational and problem-solving skills with the proven ability to prioritize multiple, diverse, and changing tasks.
  • Collaboration: Must be able to take direction and work effectively both independently and collaboratively with cross-functional teams.
  • Discretion: Demonstrated ability to independently seek out information, exercise good judgment, and maintain strict discretion in confidential situations.
  • Communication: Excellent written and verbal communication skills; able to communicate clearly and maintain a professional appearance and composure with all types of individuals, including faculty, management, and staff.
  • Professionalism: Exhibits a professional approach to work, including a strong sense of personal responsibility for assigned duties.
  • Data & File Governance: Prepares and manages accurate filing systems in a manner consistent with standard corporate office practices.
  • Critical Thinking: Ability to utilize critical thinking skills and time management principles to develop effective work plans that achieve organizational goals.
  • Technical Proficiency: Intermediate level proficiency using computer software systems, including Microsoft Office (Word, Excel, PowerPoint), with a demonstrated ability and interest in learning new software programs as required. Familiarity with standard office equipment and phone systems is expected.
  • Safety: Follows organizational safety policies and procedures, and incorporates ergonomic principles into daily work habits.


Education Qualifications

  • High School Diploma or equivalent required.
  • Bachelor's Degree is preferred.


The target hiring compensation range for this role is $48 to $52 an hour. Compensation is based on several factors including, but not limited to education, relevant work experience, relevant certifications, and location.
