Under supervision of Clinical Leadership, guided by policies and procedures of the Ambulatory Services, and in collaboration with the Clinical Nursing Staff, the Medical Assistant Supervisor works independently and has primary responsibility for the supervision of the medical assistant staff. They will be responsible for supervising the operational, human resource, and clinical competency skills of the medical assistants who work in the practice, including staff schedules. Coordinates and assigns lunches and breaks for all MA staff, and re-assigns tasks when other MA's are absent. Approximately 25 % of time is spent on administrative activities. The MA Supervisor oversees the clinic flow ensuring an efficient, well-run operation paying attention to room utilization, wait times and provider productivity.

As a working supervisor they assist in the delivery of care to patients in the Cancer Center ambulatory group practices. Work includes a performing and assisting with a variety of clinical procedures, reconciling patient's medications and communicating health care maintenance reminders to assure positive care outcomes.They will perform assigned patient care and laboratory procedures in support of the primary or specialty care services provided to patients within the practices. They are required to learn and be able to assist in all Cancer Center practices. They are required to adhere to the Living Pride Standards and Telephone and House Standards as adopted by the Medical Center.

Key Responsibilities

20 Supervises and facilitates the flow of patient care support activities based on the needs of the patients. Ensures staff are performing within their scope of practice, which includes checking vital signs, administering oral medications, collecting specimens for lab tests, and maintaining a safe, clean environment.
15 Supervises the quality of employees meeting patient service standards. Mentors staff to communicate with patients regarding their conditions, treatments, and concerns. Assists with escalated issues and reports changes to administrative and / or nursing lead or Clinic Director, or provider.
15 Evaluates subordinate staff and participates in decision-making on hiring, salary actions, disciplinary actions, performance ratings, and other human resources matters. Evaluates the competencies of clinical staff, according to scope of practice for the position(s).
10 Provides orientation and training to staff, monitors and coaches as needed to assure work is performed in adherence to patient service standards, internal policies, external regulations, and quality / quantity expectations.
5 Serves as a resource to staff for instructing patients on chronic diseases and self-care management, and with diagnostic and therapeutic procedures and treatments.
10 Participates in the performance of routine audits, accreditation, and licensing inspection readiness activities.Responsible for ordering and maintaining stock of supplies inclduing par level management and special equipment orders.
5 Promotes a climate of effective teamwork, communication, and collaboration. Communicates regularly with management on practice activities and on pertinent operational or human resources issues.
10 Mentors staff and identify areas for growth. Trains and orients all new Medical Assistant staff. Develops and implements strategies for performance improvement.
5 Implements new competencies to ensure demonstrated performance standards are in place. Develops new competencies in collaboration with other Ambulatory Practices and Ambulatory Administration. Participates in the development of standard work and trains staff to a minimum level 3 competency level. Audits standard work to ensure compliance.
5 Is an expert in the performance of all clinical functions within scope of practice and Point of Care Testing and Training and Supervision

Required Qualifications:

  • Two years of experience as a Medical Assistant
  • 6 months of supervisory experience
  • Demonstrated skills to effectively supervise patient care support staff. Strong knowledge of practice operations
  • In depth knowledge of patient support care clinical standards and care delivery, systems, external regulations, and internal policies
  • Detail oriented, with the ability to apply analytical and critical thinking skills to quickly analyze problems, determine appropriate level of intervention, and apply effective solutions
  • Solid interpersonal skills for effective collaboration and problem solving with all levels of management and staff
  • Skills in written and verbal communications, with the ability to convey clinical and technical information in a clear and concise manner
  • Knowledge of business software and specialized applications and data management systems used in clinic / center patient care
  • Demonstrated competency in current role can be considered in lieu of supervisory experience
  • This position requires flexibility to orient and work at all UCSF Medical Center locations
  • Successful completion of required UCSF competencies for the job title MAII related to medication administration, vaccinations and nebulizer treatments within 3 months of hire

Preferred Qualifications:

  • Working knowledge of human resources management policies, with the ability to train, monitor, evaluate, and document human resources issues and performance, and to participate in decision-making on human resources matters
  • Bilingual or multilingual capability (Spanish-Russian-Cantonese)

Education, Licenses, and Certifications:

  • High School Diploma or GED - Required

  • American Health Association, CPR certification - Required

  • National certification as a Medical Assistant from a recognized program: NCCT, AAMA, CCBMA or AMT - Preferred

  • Bachelor's degree in related area and / or equivalent combination of experience / training - Preferred
