Job Summary Paradise Valley Community College (PVCC) is seeking a full-time Student Services Specialist Senior (Graduation Specialist) who performs specialized admissions and records functions related to degree auditing, graduation processing, and transcript evaluation. The Student Services Specialist (Graduation Specialist) is responsible for reviewing academic records to determine student eligibility for graduation, awarding degrees in the student information system, and ensuring the accurate application of transfer and prior learning assessment credit in accordance with institutional policies and catalog requirements. The Student Services Specialist Senior (Graduation Specialist) evaluates transcripts, interprets academic policies, and applies coursework towards degree, certificate, and general education requirements. This role serves a key resource to students, advisors, faculty, and staff regarding graduation requirements. This position requires a high level of attention to detail, analytical skill, and independent judgement to maintain the integrity of student academic records. The Student Services Specialist (Graduation Specialist) ensures compliance with FERPA, accreditation standards and equitable application of academic policies within Admissions and Records. In addition, the Student Services Specialist Senior will assist with other enrollment related areas (as assigned by supervisor) during periods where graduation processing is not as demanding. To best serve the students, division, and college, this position requires a physical presence on campus. Additional Information Note: A second interview is conducted during the hiring process. Essential Functions 60% Conduct detailed degree audits to determine graduation eligibility, review completion of general education, program plans, and institutional requirements based on catalog requirements and administrative regulations, identify discrepancies impacting degree completion post and award certificates and degrees ensuring accuracy of degree data and conferral dates, adhere to graduation processing timelines to ensure compliance with deadlines, perform quality control reviews to ensure accuracy and consistency of degree awards, identify process and system issues and recommend workflow improvements, maintain and update graduation procedures, utilize student information system and other reports related to graduation eligibility, degree completion, and transfer credit. 20% Evaluate transcripts for transfer credit, apply transfer credit to student record, determine applicability of transfer coursework toward degree, recommend and process course substitutions, waivers, or exceptions in coordination with Admissions. 15% Respond to inquiries, collaborate with advisors, admissions, faculty, staff, and departments to resolve graduation related issues, communicate academic policies, maintain accurate records, ensure data integrity, provide back up support to Student Services Specialists, assist with frontline admissions, records, and registration duties. 5% Other duties or special projects as assigned. Minimum Qualifications Associate's Degree from a regionally accredited institution and two years of student services or college teaching experience or experience assisting with educational program development and coordination, student advisement, financial aid, or related student development programs. OR An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered. Desired Qualifications 1. Bachelor's degree or higher in any field from an accredited institution. 2. Three (3) or more years of experience, or part time equivalency, working in admissions and records, cashiers, financial aid, academic advising, and/or Welcome Center in a college/university setting. 3. Two (2) or more years of experience in the front facing customer service area. 4. Three (3) or more years of experience with student information systems (e.g., PeopleSoft, Banner, or any database used to support students). 5. Experience assisting with student service programs that improve, expand, and support student enrollment. 6. Two (2) or more years of experience working with Microsoft, Google docs, or other technology. 7. One year of full-time relevant MCCCD experience during the previous two years.
