Job Summary Paradise Valley Community College is seeking an Administrative Coordinator for the Division of Student Affairs. This on campus in-person position provides administrative support to the Student Affairs Leadership Team (Vice President and Dean) and the collaborative work of their offices to support student recruitment, admission, retention, engagement, and success. The Administrative Coordinator position supports thoughtful, confidential, and timely communication and project support for various administrators, faculty, staff, students and community members. Additional Information Note: A second interview is included in the hiring process. Essential Functions 30% Under the direction of the Vice President for Student Affairs (VPSA), schedules, coordinates, and performs administrative and general office activities to support the VPSA; Deans and student affairs departments (as needed). Acts as a point of contact for the VP/Deans/Division; Communicates with staff in other departments to gather information, report data, organize approaches, as a means to facilitate communication and project completion. 20% Maintains Vice President and Deans' calendars ensuring in-person and virtual meetings, events, seminars, conferences are accurately scheduled with all required attendees, rooms, and documents or links are distributed. Assists with note-taking, room preparation, and supply needs for leadership team led meetings and high priority areas. For example, assists with scheduling, note-taking, and supply orders for FOI implementation efforts, SA search processes, SEM meetings, graduation planning, etc. 20% Monitors and tracks budgets and expenditures, creates reports, keeps supervisor informed of progress and assists with purchases. Researches and resolves budget or fiscal discrepancies or related transactions. Provides assistance for requisitions, OFF forms, room reservations, purchases, tracking, creating help desk tickets and the issuance of office supplies, lease agreements, equipment maintenance agreements, and/or facilities equipment. Assists with travel paperwork. 15% Provides in-person support for special projects such as orientation, FOI co-curricular engagement opportunities, student leadership banquets (as needed) to support student engagement, retention and success. Assists in creating and proofing content for presentations, training materials, graphics, web page development, reports and communication 10% Assists with scheduling, communication, note-taking and database management for student conduct, student CARE, Title IX, compliance and grievance investigations in a highly confidential manner. 5%- Duties as assigned. Minimum Qualifications Associate's Degree from a regionally accredited institution and three years of advanced administrative office support, secretarial, or related experience providing office coordination activities, preferably involving executive level staff. OR An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.
