Summary:

The Client Relationship Administrator supports the day-to-day operations of the Wealth Management team by delivering exceptional service to clients while facilitating new business and ongoing account administration. This role is responsible for executing financial transactions, managing client inquiries, and supporting the onboarding of new clients in accordance with bank policies and regulatory standards. Acting as a key point of coordination, the Client Relationship Administrator manages calendars, schedules meetings with clients and partners, prepares account documentation, and assists with marketing and client communications. The ideal candidate is highly organized, detail-oriented, and able to work independently while contributing to a seamless and professional client experience across all Wealth Management services.

Essential Duties and Responsibilities:

  • Manage PeoplesWealth and Private Client, day to day office functions. Review, sort and scan mail daily. Provide a welcoming, professional and friendly experience for visitors
  • Inventory and order Wealth Management supplies for Suite 630 (WB Mason, Amazon).
  • Handle calls/inquiries from current clients including requests for funds and account questions; process requests in a timely and accurate manner.
  • Assist in the onboarding of new Private Clients by establishing new accounts in the Core System in accordance with bank procedures. Work closely with PCG relationship managers to send out welcome kits, birthday cards and client appreciation tokens to Private Clients.
  • Prepare documents/pre-fill forms and new account applications ensuring client confidentiality.
  • Internal meeting management: Schedule team meetings, prepare agenda, document meeting minutes and distribute accordingly. Assist head of Wealth Management in tracking action items from meetings and follow up on open items as needed.
  • Access and manage Wealth Management members' calendars to book appointments with clients and prospects based on availability.
  • Assist Head of Wealth with marketing, social media and client communication needs for Wealth Management.
  • Prepare and send customer communications and provide ad hoc reports to team members, as requested.
  • Assist in gathering demographic information for existing and potential Wealth Management clients. Contact referrals and expand relationships with existing clients with the purpose of laying a foundation for upcoming appointments.
  • Coordinate appointments with external partners such as product wholesalers, attorney's, CPAs and other financial professionals. Provide account documents, notes, statements and tax records to outside financial professionals per client requests and court orders.
  • Identify opportunities to improve processes to streamline customer onboarding and implement solutions to improve customer experience.
  • Completes all yearly compliance training and testing and complies with bank, federal, and state regulations. Complies with Bank Policies and Procedures. Adheres to departmental and bank-wide service
  • While the position is located at headquarters, travel to a banking center or chosen location to assist with a client need is required, when needed.
  • Other related duties as assigned.

Education and Experience:

Bachelor's degree (B. A.) from four-year college or university; OR one to two years related experience and/or training; OR equivalent combination of education and experience.

Certifications, Licenses and/or registrations:

While being securities-licensed is not required (but preferred), an affiliation with Raymond James to service our PeoplesWealth clients will be required upon onboarding.

Computer Skills:

Proficient with MS Office (Word, Excel, Outlook) and ShareFile
