Qualifications

Education and Experience: Graduation from an accredited college or university with a bachelor's degree and five years of experience, including two years of supervisory experience in one or a combination of the following: professional museum or historic site work; paraprofessional museum work; professional experience in the instruction or research in education, art, history, or museum science; professional library experience; or professional experience in fundraising or promotional marketing activities; or related field.

Substitution of Graduate Education for Experience: Graduate coursework credit received from an accredited college or university in education, art, history, museum science, library science, anthropology, industrial design, architecture, business administration, advertising/marketing or related field may substitute for the required experience, on a year-for-year basis, to a maximum of three years, there being no substitution for the required supervisory experience (e.g., 36 graduate quarter hours in one or a combination of the above listed fields may be substituted for one year of the required experience).

Necessary Special Qualifications: Complete a background clearance application which includes releasing all records involving any criminal history and a valid motor vehicle operator's license is required.

- Ability to lift and move objects more than 50 pounds, preferred.
- Ability to use hand tools, power tools, and other equipment for fabrication, preferred.
- Ability to comprehend and interpret design schematics and drawings, preferred.

Overview

The Tennessee State Museum is seeking a Volunteer Manager to develop and oversee daily operations of a volunteer program. This is a new program and role that will supervise and support volunteers, providing direction, coordination, and consultation for all volunteer functions. This role ensures that volunteers are effectively prepared and aligned to create a welcoming and educational experience for all visitors to the Tennessee State Museum (TSM). The Volunteer Manager reports directly to the Director of Special Projects.

Responsibilities

  1. Collaborate with staff to establish a formal TSM Volunteer Program and develop a volunteer handbook outlining policies, procedures, and standards.
  2. Work with staff to identify, purchase, and manage volunteer management software that meets museum needs.
  3. Conduct or coordinate ongoing volunteer orientations and training.
  4. Lead and perform volunteer recruitment, training, motivation, recognition, retention, supervision, and program planning.
  5. Ensure adequate volunteer staffing to support the museum's mission.
  6. Create and oversee staffing schedules to ensure all volunteer roles are fully covered during museum and Capitol Visitor Center operating hours, including visitor services, education, and special events.
  7. Serve as the primary liaison between volunteers and museum staff, ensuring clear communication.
  8. Work with department heads to communicate volunteer assignments and ensure adherence to museum policies and procedures.
  9. Develop and maintain a volunteer retention program that promotes a positive volunteer culture, including appreciation and recognition efforts, especially during Volunteer Appreciation Week each April.
  10. Track and report volunteer metrics to support effective resource planning, volunteer-to-supervisory ratios, and long-term operational needs.
  11. Evaluate volunteer programs regularly to ensure effectiveness and recommend or implement improvements.
  12. Participate in and host community recruitment events and collaborate with the Communications team to promote volunteer opportunities.
